Workflow View (Kanban)

When to Use Workflow View
Best for:
Processing appointments through stages
Visual workflow management
Quick status updates
High-volume operations
Team collaboration
Business types:
Busy daycare facilities
High-volume grooming salons
Training centres
Any business processing many appointments daily
Workflow View Layout
Appointments are organised into columns representing status stages. Live column names:
Confirmed
Confirmed bookings waiting to start
In Progress
Service currently being performed
Ready to Pay
Completed, Ready to Pay, and Payment Declined (invoice waiting to be collected)
Checked out & Paid
Paid and related closed payment statuses
Stay appointments can also show Stay Arrivals and Stay Departures when those pets are on site.
There is no column named Ready for Pickup. Ready to Pay is the payment column.
Cards only move forward. You cannot drag back from Ready to Pay to In Progress. Use Undo Check Out on the appointment or its Mission Control card to send Ready to Pay back to the status it held before check out. Undo Check In only works from In Progress back to Confirmed.
Drag-and-Drop Status Updates
The core feature of Workflow View is drag-and-drop status management:
How it works:
Turn Drag Lock off in the Mission Control toolbar (it is on by default so cards cannot move by accident)
Click and hold an appointment card
Drag it to a later column
Release to drop
Appointment status updates automatically
Example workflow:
Pet arrives → drag from Confirmed to In Progress
Service complete → drag from In Progress to Ready to Pay
Payment taken → the card moves to Checked out & Paid
If you drop into Ready to Pay by mistake, you cannot drag the card back. Use Undo Check Out on the appointment or its Mission Control card. See I dragged an appointment to Ready to Pay by mistake.
Drag Lock Safety Feature
To prevent accidental status changes, Workflow View includes a drag lock toggle:
Drag Lock ON (Default):
Cards cannot be dragged
Prevents accidental status changes
Safe for browsing
Drag Lock OFF:
Cards can be dragged between columns
Status updates on drop
Active workflow management
Toggle location: Find the lock icon in the toolbar
Why drag lock exists:
Prevents accidental touches on tablets
Avoids unintended status changes while scrolling
Provides intentional workflow control
You can browse safely without worry
Best practice:
Keep drag lock ON while reviewing appointments
Turn drag lock OFF when actively processing status changes
Turn drag lock back ON when done
Kanban Card Details
Each card in Workflow View shows:
Pet photo
Pet name
Owner name
Service type
Appointment time
Team member (if assigned)
Resource (if assigned)
Special attention badges (medical, birthday, etc.)
Column Counts

Mobile Workflow View
On mobile devices, Workflow View is optimised for touch:
Swipe horizontally to see different columns
Touch and hold to drag cards
Drag lock toggle prevents accidents
Haptic feedback on successful drop (if device supports)
Workflow View Best Practices

Appointments in columns by team member and resource. The tab reads Team Members, Resources or Resources & Team, depending on what the day's bookings have assigned. The Resources View and Resources & Team View sections below describe the same view. It appears only when bookings have a team member or resource assigned.
When to Use Team Members View
Best for:
Team-based scheduling
Mobile service businesses
Businesses where "who" matters more than "where"
Workload distribution
Business types:
Mobile grooming
In-home training
Team-based daycare
Multi-groomer salons
Team Members View Layout
Columns:
Each team member gets a column, headed by their name and a count of pets. The column lists every booking assigned to them, with status badges.
Unassigned column:
Bookings with no team member or resource sit in Unassigned, the last column.
Card actions
Select a booking card to open its quick menu. With Drag Lock off, drag a card to another column to reassign the booking.
Team Members View Best Practices
Use for workload balancing - See who's busy and who's available
Assign from this view - Drag appointments to team members (if drag enabled)
Mobile services - Perfect for dispatching groomers
Check current status - See who's with which pet right now
Combine with day view - Focus on today's assignments
Split Grooming Teams
For grooming businesses where team members have different roles (e.g., prep vs. styling), Team Members View helps you manage split workflows:
Common split team structure:
Grooming Assistants - Handle bathing, drying, brushing, nails, paw pads, hygiene, desheds
Groomers - Handle clipping, scissoring, styling, difficult dogs, aggressive pets, puppy first grooms
How to use for split teams:
Open Mission Control
Select Team Members
Each team member appears as a separate column
See at a glance what each person is working on
Identify special needs dogs that only certain team members can handle
Benefits for split grooming:
Plan handoffs between assistants and groomers
Identify which dogs need the groomer's attention (aggressive, special needs)
See capacity at a glance - 2 columns means you have help that day
Balance workload across your team
Tip: For the best "side-by-side column" experience similar to traditional grooming boards, use the Appointments page with Group By set to Team Members in Timeline View. Mission Control's Team Members View shows the same bookings in one column per team member.
Resources View
The same view as Team Members View. Its tab reads Resources when the day's bookings have resources assigned but no team members.
When to Use Resources View
Best for:
Facility-based businesses
Businesses where "where" matters more than "who"
Space management
Capacity planning
Business types:
Facility-based daycare
Boarding with multiple rooms
Training with multiple areas
Grooming with multiple stations
Resources View Layout
Columns:
Each resource gets a column, headed by its name and a count of pets. A booking with more than one resource appears in each of those columns. Bookings with no team member or resource sit in Unassigned.
Card actions
Select a booking card to open its quick menu. With Drag Lock off, drag a card to another column to reassign the booking.
Resources View Best Practices
Use for facility management - See which areas are busy
Capacity monitoring - Ensure you're not over-booking spaces
Room assignments - Allocate kennels or play areas
Equipment scheduling - Manage shared equipment
Combine with week view - Plan resource allocation across the week
Resources & Team View
The same view as Team Members View. Its tab reads Resources & Team when the day's bookings have both team members and resources assigned.
When to Use Resources & Team View
Best for:
Businesses using both team and resource assignments
Complex scheduling needs
Full visibility requirements
Large screen users
Business types:
Full-service pet businesses
Facilities with team-based assignments
Businesses managing both "who" and "where"
Complex operations
Resources & Team View Layout
One board of columns, in this order:
Shared columns for bookings with both a team member and a resource, such as Sarah + Grooming Station 2
Team member columns
Resource columns
Unassigned
Bookings with a team member and a resource
A booking with both a team member and a resource sits in the shared column for that pair, not in the team member's or the resource's own column:
Example:
Appointment: "Bella's Grooming"
Team member: "Sarah (Groomer)"
Resource: "Grooming Station 2"
Appears:
Under Sarah + Grooming Station 2
The column name shows who is doing the work and where.
Resources & Team View Best Practices
Use on large screens - More columns fit side by side
Full operational visibility - See everything at once
Complex scheduling - Manage both assignments simultaneously
Not recommended for mobile - Too cramped on small screens
Switch to tablet landscape - Works well on tablets in landscape mode
Photos View
Visual grid of pet photos for quick identification and status overview.
When to Use Photos View
Best for:
Visual pet identification at a glance
Daycare check-in with photos
Quick status overview with pet faces
Businesses with many pets in care simultaneously
Business types:
Dog daycare
Boarding facilities
Any high-volume pet care operation
Photos View Layout
Each pet is displayed as a photo tile showing:
Pet photo (large, prominent)
Pet name
Service type
Status badge
Quick action access
Photos View Best Practices
Use for visual check-ins where recognising the pet matters
Great for team handoffs where staff need to identify pets quickly
Combine with filters to focus on specific service types or statuses
Works well on tablets for reception desk use
Spotlight View
Spotlight groups today's appointments into swimlanes for the queues you work during the day: special care, late arrivals, photos and notes, report cards, and similar.
Empty swimlanes stay hidden. A visit can appear in more than one swimlane.
Report cards in Spotlight
If Communications Booster is on, or the account is on Enterprise, Spotlight includes Report Cards to Send and Report Cards Sent. These only list finished visits that have customer-visible notes or photos.
To send the queue:
Open Report Cards to Send
Select Bulk Send
Confirm the visits with a mobile number
Select Send report card (or Send N cards when sending more than one)
For the single-appointment send, preview, and print path, see Report Cards.

Troubleshooting View Modes
Q: I don't see a view that used to be in the toolbar
A: Open the Day or Week menu next to the date picker and turn that view back on under Views.
Q: I don't see Stays View
A: The Stays tab appears only when a stay is active on the selected date. If a stay is active and the tab is still missing, turn Stays on under Views in the Day or Week menu.
Q: Resources & Team View is too cramped on my screen
A: Every team member, resource and pairing gets its own column, so this view needs a wide screen. Scroll sideways to see more columns, filter to one team member or resource, or use a larger monitor.
Q: Drag and drop isn't working in Workflow View
A: Check that drag lock is turned OFF (unlock icon). Drag lock prevents accidental dragging and must be disabled to move cards.
Q: My view keeps resetting
A: Mission Control saves your last view in this browser. Private or incognito windows do not keep it.
Q: Can I see Workflow View on mobile?
A: Yes! Workflow View is fully optimised for mobile with touch-friendly drag-and-drop. Turn drag lock OFF to enable dragging.
Q: Why do some appointments appear twice in Resources & Team View?
A: A booking can show in more than one column. When its services have different team members or resources, each column shows the part assigned to it. A booking with more than one resource appears once for each resource. A booking with both a team member and a resource sits in the shared column for that pair, such as Sarah + Grooming Station 2, not in the team member's or the resource's own column.
Q: Can I customise the columns in Workflow View?
A: The status columns in Workflow View are fixed based on your appointment statuses. You cannot customise them.
Q: Which view mode is fastest?
A: It depends on your task:
Browsing - List View
Status updates - Workflow View
Finding a pet - Pets View
Assigning team - Team Members View
