Appointments Tab

Overview

The Appointments tab analyses your booking volumes, completion rates, status breakdowns, and day-of-week patterns. It also contains the Appointments Deep Dive, the richest on-demand analysis in the suite.

What It Shows

Appointments

Total appointment count for the period. If any were cancelled, shows the cancelled count and cancellation rate

Completion

Percentage of appointments that reached "Paid" status, with a badge showing "X paid of Y"

Avg Duration

Average appointment duration in minutes

Revenue

Total revenue from appointments in the period

Insight Cards

The Appointments tab generates insight cards covering:

  • Booking trend momentum: Whether your booking volume is increasing, decreasing, or holding steady across the period

  • Demand imbalance: Same as the Overview tab: identifies underbooked working days with estimated lost revenue and a "Create Special Service" action

  • Cancellation impact: Quantifies the revenue lost to cancellations and how many cancelled slots were refilled. Includes a "Run Deep Dive" action that scrolls to and opens the Appointments Deep Dive

  • Cancellation day pattern: Identifies which day of the week has the highest cancellation rate, with a suggestion for prevention (e.g., sending confirmation messages the evening before)

Charts and Sections

Bookings Over Time

An area chart showing daily appointment counts. Supports comparison (dashed grey overlay) and forecast (dashed amber projection) when enabled.

Completion Rate

A visual ring chart showing the percentage of appointments that are fully paid. Displays "X of Y paid" beneath the ring.

Status Breakdown

Horizontal progress bars showing the distribution of appointment statuses:

  • Completed: Appointments marked as completed

  • Paid: Appointments where payment was processed

  • Pending: Appointments awaiting completion or payment

  • Cancelled: Cancelled appointments

  • Declined: Appointments where payment was declined

Each status shows its count and percentage of total.

Day of Week

A bar chart showing how appointments are distributed across days of the week. Helps identify your busiest and quietest working days.

Appointments Deep Dive

At the bottom of the tab, you'll find the Appointments Deep Dive card: a gradient-coloured card with a "Deep Dive" button.

What It Analyses

The Appointments Deep Dive is the most comprehensive on-demand analysis available. It fetches your full appointment records for the date range and computes cross-dimensional analytics including:

  • Revenue by status: How revenue breaks down across appointment statuses

  • Self-service booking rates: What percentage of bookings were made by customers online vs. created by staff, with estimated time savings

  • Booking modes: How staff book appointments (Quick Force vs. Magic Schedule)

  • Add-on attachment rate: Which services get add-ons most often and the revenue uplift they generate

  • Digital payment adoption: Card-on-file vs. payment link vs. manual payment breakdown

  • Top clients by revenue: Your highest-value clients with appointment counts and average spend

  • Recurring vs. one-off patterns: Revenue predictability from recurring bookings

  • Popular time slots: Distribution of appointment start times by morning, midday, and afternoon

  • Booking lead time: Average days between booking creation and appointment date

  • The $100 appointment club: Percentage of appointments exceeding $100 and what makes them premium

  • Cancellation analysis: Repeat cancellers, self-service vs. staff cancellation rates, cancellation fee effectiveness

  • Payment method breakdown: How customers pay and success rates

  • Pickup and drop-off impact: Revenue and cancellation rates for appointments with pickup/drop-off vs. without

  • Check-in/check-out coverage: Percentage of appointments with location tracking recorded

  • Special care impact: How pets flagged for special care affect duration and pricing

  • Vaccination expiry risk: Pets with vaccinations expiring soon that could block upcoming bookings

How to Use It

  1. Scroll to the bottom of the Appointments tab

  2. Tap the Deep Dive button on the gradient card

  3. Confirm the date range in the dialog that appears, then tap Crunch Numbers

  4. A fullscreen view opens with a loading animation while data is fetched and processed

  5. Once loaded, review the metrics, insight cards, and detailed breakdowns

Tip: When a cancellation insight card in the main tab shows "Run Deep Dive", tapping it will automatically scroll to the Deep Dive card, highlight it with a visual pulse, and open the fullscreen dialog for you.

State Persistence

Once you run the deep dive, the results remain loaded even if you switch to other tabs. When you return to the Appointments tab, your deep dive results are still there. You only need to re-run it if you change the date range.

Email

The deep dive card includes an email button that sends a formatted summary of the deep dive analysis.
