Overview
The Appointments tab analyses your booking volumes, completion rates, status breakdowns, and day-of-week patterns. It also contains the Appointments Deep Dive, the richest on-demand analysis in the suite.
Key Metrics
Metric | What It Shows |
Appointments | Total appointment count for the period. If any were cancelled, shows the cancelled count and cancellation rate |
Completion | Percentage of appointments that reached "Paid" status, with a badge showing "X paid of Y" |
Avg Duration | Average appointment duration in minutes |
Revenue | Total revenue from appointments in the period |
Insight Cards
The Appointments tab can generate up to 9 insight cards:
Booking trend: Analyses whether your booking volume is increasing, decreasing, or holding steady across the period, with specific growth or decline percentages
Booking momentum: Compares the second half of your period to the first half to detect accelerating or decelerating demand, giving you an early signal of what's coming next
Demand imbalance: Identifies consistently underbooked working days with estimated lost revenue. Includes a "Create Special Service" action that opens a guided 6-step plan for creating a promotional service to fill quiet days
Peak day saturation: Flags when your busiest day is significantly more loaded than your quietest working day, suggesting you may be turning away bookings on peak days while quiet days have spare capacity
Cancellation impact: Quantifies the revenue lost to cancellations and how many cancelled slots were refilled. Includes a "Run Deep Dive" action that scrolls to and opens the Appointments Deep Dive
Pending payment: Highlights appointments still awaiting payment, showing the total revenue at risk. Includes a "Manage Payments" action linking to the Outstanding Payments dialog
Declined payment: Flags appointments where payment was declined, with the total amount affected. Includes a "Manage Payments" action linking to the Outstanding Payments dialog
Cancellation day pattern: Identifies which day of the week has the highest cancellation rate, with a suggestion for prevention (e.g., ensuring confirmation reminders are enabled for the evening before)
Status flow: Analyses the overall distribution of appointment statuses and highlights any unusual patterns (e.g., a high proportion of pending or declined appointments)
Charts and Sections
Bookings Over Time
An area chart showing daily appointment counts. Supports comparison (dashed grey overlay) and forecast (dashed violet projection) when enabled. Comparison and forecast periods are separated by dotted vertical boundary lines, with background tints marking each zone.
Completion Rate
A visual ring chart showing the percentage of appointments that are fully paid. Displays "X of Y paid" beneath the ring.
Status Breakdown
Horizontal progress bars showing the distribution of appointment statuses:
Completed: Appointments marked as completed (indigo)
Paid: Appointments where payment was processed (green)
Pending: Appointments awaiting completion or payment (blue)
Cancelled: Cancelled appointments (red)
Declined: Appointments where payment was declined (red)
Each status shows its icon, count, and percentage of total. Only statuses with at least one appointment are displayed.
Day of Week
A bar chart showing how appointments are distributed across days of the week. Helps identify your busiest and quietest working days.
Appointments Deep Dive
At the bottom of the tab, you'll find the Appointments Deep Dive card: a gradient-coloured card with a "Deep Dive" button.
What It Analyses
The Appointments Deep Dive is the most comprehensive on-demand analysis available. It fetches your full appointment records for the date range and computes cross-dimensional analytics including:
Core metrics:
Revenue by status, self-service booking rates, booking modes (Quick Force vs. Magic Schedule), add-on attachment rate, rebook rate, no-show rate, and average booking frequency
Client and revenue intelligence:
Top clients by revenue, recurring vs. one-off booking patterns, the "$100 appointment club" (appointments exceeding $100), client concentration risk, and lifetime value estimates
Timing and demand:
Popular time slots (morning, midday, afternoon), recurring day patterns, and booking lead time
Payment and operations:
Payment method breakdown, card-on-file adoption, collected vs. expected revenue, mobile vs. salon revenue comparison, pickup/drop-off impact on pricing
Cancellation analysis:
Cancel-and-rebook vs. cancel-and-gone ratios, repeat canceller detection, self-service vs. staff cancellation rates, cancellation fee effectiveness
Blindspot analytics (12 computed metrics):
Rebook rate, no-show rate and fee collection, discount analysis, client lifetime value, booking frequency, staff loyalty rate, collected vs. expected revenue, calendar gaps, payroll estimates, prebooking rate, and vaccination expiry monitoring
Each of these sections generates its own set of insight cards with entity list dialogs and email templates where applicable. For example, the rebook rate insight includes a "View Not Rebooked" action that opens a list of clients without future bookings, each with a mail icon that opens a personalised rebook reminder template in your email client.
Raw Appointments Table
The deep dive includes a full appointments table with columns for date, time, pet name, service, owner, revenue, status, payment method, add-on status, and package status. Features include:
Status filter dropdown to focus on specific statuses
CSV export button for the full filtered data set
Clickable rows linking to appointment detail pages
How to Use It
Scroll to the bottom of the Appointments tab
Tap the Deep Dive button on the gradient card
Confirm the date range in the dialog that appears, then tap Crunch Numbers
A fullscreen view opens with a loading animation while data is fetched and processed
Once loaded, review the metrics, insight cards, and detailed breakdowns
Tip: When a cancellation or payment insight card in the main tab shows "Run Deep Dive" or "Manage Payments", tapping it will automatically scroll to the Deep Dive card, highlight it with a visual pulse, and open the fullscreen dialog for you.
State Persistence
Once you run the deep dive, the results remain loaded even if you switch to other tabs. When you return to the Appointments tab, your deep dive results are still there. You only need to re-run it if you change the date range.
The deep dive card includes an email button that sends a formatted summary of the deep dive analysis, appended to the standard top-level analytics summary.
