Overview

Reporting and Intelligence is your business intelligence suite inside Petboost. It brings together revenue, appointments, customers, team performance, service analytics, financial health, and geographic data into one place, then tells you what it all means and what to do about it.

Rather than simply showing you charts and numbers, Reporting and Intelligence generates insight cards: plain-language observations about your business data, complete with step-by-step calculation explanations, suggested actions, and pre-written email templates. It's like having a data analyst on your team who's studied your numbers, briefed you on the findings, and prepared email templates you can review and send from your own email client.

Important: Petboost does not send marketing emails or campaigns on your behalf. Email templates open in your own email client (Gmail, Outlook, etc.) for you to review, edit, and send manually. Petboost handles transactional notifications (reminders, confirmations, receipts) automatically.

Accessing Reporting and Intelligence

Navigate to Reporting and Intelligence from the main sidebar. The page title displays as "Business Intelligence" alongside your business logo.

Each tab provides a different lens on your business, and all load instantly from pre-computed data:

On-Demand Deep Dives

Three tabs contain deep dive analyses that you trigger manually. These fetch raw data and compute richer, more detailed analytics than the pre-computed summaries:

  • Appointments Deep Dive (inside the Appointments tab): Cross-dimensional analysis covering self-service rates, add-on revenue, top clients, cancellation patterns, payment methods, blindspot analytics (12 computed metrics including rebook rate, no-show analysis, booking frequency, and vaccination expiry monitoring), and a full raw appointments table with CSV export

  • Pet Demographics Deep Dive (inside the Customers tab): Breed distribution, age analysis, multi-pet households, card-on-file coverage, Instagram opportunity, draft account follow-up, and 8 actionable pet-specific insights with email templates

  • Revenue Forecast Deep Dive (inside the Financial tab): Projects your revenue based on historical performance across 3 prior periods, with a confidence band, variance tracking, pace indicators, and forecast accuracy measurement

The Map tab is also an on-demand analysis that geocodes customer addresses and plots them on an interactive map with 5 visualisation modes.

Intelligent Insight Cards

Every tab displays automatically generated insight cards: scrollable cards that highlight what's notable in your data. Each insight follows a pattern:

  1. What's happening (the observation)

  2. Why it matters (the implication)

  3. What to do about it (the suggested action)

Many insight cards include a calculation explainer (help icon) that you can tap to see exactly how the insight was derived from your data, step by step. Some cards also include period comparison bars showing how the metric has changed across comparison and forecast periods.

Insights cover timing and demand, pricing, customer behaviour, team efficiency, pet-specific patterns, self-service adoption, packages, geographic trends, and cancellation analysis. Learn more in Understanding Insight Cards.

Email Templates

Throughout the deep dives, insight cards can open entity list dialogs (e.g., lists of senior pets, repeat cancellers, or VIP clients). Many items in these lists include a mail icon that opens a pre-written, personalised email template in your email client for you to review, edit, and send. There are 11 email templates covering cancellation recovery, VIP thank-you, senior pet care, puppy welcome, multi-pet offers, rebook reminders, no-show follow-up, vaccination expiry, and more. Comparison and Forecasting

Compare your current period against up to 3 prior periods of equal length, and project performance up to 3 periods into the future. These overlays appear on trend charts and metric cards across all tabs. The forecast uses a day-of-week weighted averaging method with trend detection, and you can tap the forecast badge on the Overview tab to see exactly how the numbers were calculated. Filters, Export, and Email

  • Team Member filter: Narrow all data to a specific team member's appointments and revenue

  • Service filter: Narrow all data to a specific service's bookings and revenue

  • CSV Export: Download analytics data for the active tab (available on 6 of 7 tabs, with tab-specific columns)

  • Email Summary: Send a comprehensive plain-text analytics digest via email, covering all 6 analytics sections plus any active comparison or forecast data

How the Data Works

Reporting and Intelligence uses two data sources:

  1. Pre-computed summaries: Your backend calculates analytics from raw appointment data. The Overview, Appointments, Customers, Team, Services, and Financial tabs all display this pre-computed data instantly. You can see when it was last updated in the toolbar (e.g., "Updated 2h ago").

  2. On-demand analysis: Deep dives and the Map tab fetch raw records and compute analytics in real-time when you trigger them. This takes a moment but provides much richer, cross-dimensional analysis.

If you've recently made changes (completed appointments, processed payments, issued refunds), use the Recalculate button to refresh the pre-computed data for specific dates (up to 7 days at a time, with an 8-hour cooldown between refreshes).
