General Questions
What notification channels does Petboost support?
Petboost uses three main communication channels:
Email - Booking confirmations, invoices, receipts, reminders
SMS - Appointment reminders, payment links, urgent notifications, and 2-way conversations (with Communications Booster)
In-App Notifications - Displayed within the customer portal
Each channel serves a different purpose:
Email: Detailed information, documents, receipts
SMS: Time-sensitive alerts, quick reminders, payment links, and real conversations with customers (via Communications Booster add-on)
In-App: Real-time updates when customer is actively using the portal
When are notifications sent automatically?
Petboost sends 14 SMS templates and 13 email templates across the complete appointment lifecycle. The Control column names the switch in Settings > Notifications that controls each message. New accounts start with Email the customer: booking updates off, so booking confirmation, accepted, declined, receipt, cancellation and refund emails go out only after you turn it on. Here is the full notification matrix:

What's the difference between Communications Booster and standard notifications?
Standard notifications (included in Business Pro, Flex and Max) are one-way automated messages. Your customers receive SMS reminders, payment alerts, and booking confirmations, but they cannot reply directly.
Communications Booster (optional add-on for Business Pro, Flex and Max) upgrades your SMS to a full two-way communication channel:

In short: standard notifications keep your customers informed automatically. Communications Booster lets you have real conversations with them, just like texting from your phone, but managed from your Petboost dashboard.

What triggers each automated notification?
Automated notifications in Petboost are fired by specific events, not on a fixed schedule. Here is a breakdown of what triggers each message:

All configurable notifications can be toggled on or off in Settings, then Notifications, and many can be overridden per service.
SMS Questions
How do I SMS a single client?
You need Communications Booster (available as an add-on for Business Pro, Flex and Max plans) to send a manual SMS to an individual customer. Standard notifications are automated only and do not support ad-hoc messaging.
Step-by-step:
Make sure Communications Booster is activated (Settings, then SMS, then Communications Booster)
Go to the Messages tab in your main navigation
Search for the customer by name or phone number
Select their conversation thread (or start a new one if they have not been messaged before)
Type your message in the compose field at the bottom
Press Enter or click Send
Important details:
You can only message existing pet owner customers in your Petboost account, not arbitrary phone numbers
Each outbound message uses 1 SMS credit from your pooled balance
A message over 160 characters still uses 1 credit
The message appears in the customer's conversation thread alongside any automated messages they have received
Without Communications Booster, you can still trigger manual notifications from an appointment (drop off, ready for pickup, running late) using the appointment's Manage dropdown, but you cannot compose a free-text message.
How do I change which phone number customers see?
The phone number customers see depends on your setup:
Without Communications Booster: Automated SMS (reminders, payment alerts) are sent from a shared sender ID. The number that appears on the customer's phone is a Petboost system number, not your personal or business number. Customers cannot reply to these messages.
With Communications Booster: After you verify your business, you receive a dedicated Australian mobile number (+61). This number appears on all outbound SMS from your Communications Booster inbox, and customers can save it as your business number. Automated messages sent via the Communications Booster channel also show this dedicated number.
To update your business contact details (the phone number shown in email footers, booking confirmations, and your customer portal):
Go to Settings, then Business Details
Update the Business Phone field
Select Publish Changes
This business phone number is for display purposes in emails and your portal. It does not change the SMS sender number, which is controlled by whether you have Communications Booster active.
How much does each SMS cost?
SMS is included in your plan at no extra charge up to your monthly allocation:

Each outbound SMS uses 1 credit, however long it is. Inbound messages (customer replies via Communications Booster) are always free.

Pack credits never expire and can be set to auto top-up when your balance runs out. Credits from packs are pooled with your plan's included SMS and any Communications Booster credits. Plan allocation credits that go unused do not roll over to the next month.

Why did my SMS credits get used up so quickly?
Common reasons your credits may be depleting faster than expected:
Bulk SMS sends - A single bulk announcement to 200 customers uses 200 credits in one go.
Multiple reminder types enabled - If you have both a 24-hour SMS reminder and a 2-hour SMS reminder enabled, each appointment uses 2 credits for reminders alone.
High appointment volume - Automated reminders, booking confirmations, and payment alerts all consume credits. A busy week with 50 appointments can use 100+ credits from automated messages alone.
Communications Booster conversations - Each outbound message in a 2-way conversation uses 1 credit (inbound replies from customers are free).
Message length does not change the count: a long message or one with emojis still uses 1 credit.
How to reduce credit usage:
Use email instead of SMS for non-urgent communications (email is unlimited)
Disable duplicate reminder channels (e.g. use SMS for same-day reminders and email for 24-hour reminders)
Segment bulk sends to target only relevant customers
Turn on Auto top-up in Settings > SMS so the next SMS after you run out buys the pack you selected
Check Settings > SMS > SMS Usage Breakdown to see what is using credits.
Why didn't my customer receive an SMS?
Common reasons SMS may not be delivered:
Invalid phone number - Number stored incorrectly, incomplete, or has extra characters
Customer opted out - Replied "STOP" to a previous message
Mobile number required - Landlines and VoIP numbers cannot receive SMS
International number - May require different format or may not be supported
Carrier issues - Temporary network problems on the recipient's mobile carrier
Credit balance exhausted - No SMS credits remaining on your account
Notification disabled - The specific notification type is toggled off in Settings, then Notifications, or overridden at the service level
Troubleshooting steps:
Open the customer's profile and verify their phone number is a valid Australian mobile (starting with 04)
Check if the customer has opted out by viewing their communication preferences in their profile
Confirm the notification type is enabled in Settings, then Notifications
Check your SMS credit balance on Settings > SMS
Review the communication log on the customer's profile for delivery status details
Try sending a test message to your own mobile number
If the delivery status shows "failed", check the failure reason in the communication log
Contact support if the issue persists after these checks
What is a TWVerify / "Your verification code is" message in my Messages inbox?
That is SMS-provider traffic, not a client conversation. Login and phone-verification codes can land in Messages after an SMS provider change. You can ignore it. Do not reply to it as if it were a customer.
Automated reminders and real client replies still appear in the same inbox when you have Communications Booster. A six-digit "Your verification code is" line from TWVerify (or similar) is not one of those.
Can customers reply to automated SMS messages?
It depends on whether you have Communications Booster:
Without Communications Booster: No. Automated SMS (reminders, payment alerts, booking confirmations) are sent from a shared sender ID. If a customer replies, the reply is not received by your business. The automated messages include "(no-reply)" in the sender label to set this expectation.
With Communications Booster: Yes. Automated messages sent via your dedicated Communications Booster number appear in the customer's conversation thread. If the customer replies to an automated reminder, the reply arrives in your Messages inbox and your team can respond. This is one of the key benefits of Communications Booster, as customers can ask questions about their upcoming appointment directly by replying to the reminder.
Special case: SMS Confirmation Reply. Confirmation Reply (Y/N) under Reminder Rules on Settings → Notifications adds a reply prompt to SMS reminders. It needs an active dedicated number (Communications Booster) and applies to the whole business. A Y reply keeps the appointment Confirmed, and Petboost texts back "Thanks! See you then." An N reply can cancel the appointment, subject to your change and cancellation policy.
Can customers opt out of SMS?
Yes, customers can opt out by replying "STOP" to any SMS.
When opted out:
No further SMS notifications are sent to that customer
Email notifications continue as normal
Critical appointment information is still delivered via email
Customer can opt back in by replying "START" or by contacting your team
Important distinctions:
Transactional SMS opt-out: When a customer replies STOP, all SMS to that customer stops, including appointment reminders and payment alerts. These messages continue via email only.
Marketing SMS opt-out: Customers can separately opt out of marketing SMS only. This means they still receive transactional reminders but are excluded from bulk marketing sends.
Staff can also turn off reminder and update texts for a specific customer on the Settings & Overrides tab of their profile.
How do I turn off SMS reminders for a specific customer?
You can disable SMS notifications for an individual customer from their profile:
Go to Customers & Pets
Open the customer's profile and select the Settings & Overrides tab
In Reminders & Updates, turn off Text the customer: reminders. Turn off Text the customer: booking confirmation or Text the customer: booking changes too if needed
Save changes
The changed row shows Different to default, and What they receive today at the top of the tab shows the result. A customer's setting takes precedence over your business and service settings. The Communication Preferences card on the same tab covers marketing and rebooking reminders only.
When SMS is turned off for a customer:
They do not receive the texts you turned off. Payment-declined texts still send
Email notifications continue as normal, so they still receive appointment details via email
If the customer has Communications Booster conversations, you can still send them manual messages (the toggle affects automated notifications only)
Alternative: Disable reminders for a specific service if you want to turn off reminders for a service type rather than for a specific customer:
Navigate to Services, then Edit Service
Go to the Notifications tab
Adjust reminder preferences for that service
Save changes
This is useful for same-day bookings, recurring appointments where customers already know, or VIP services with custom communication arrangements.
Why are some SMS messages showing as "queued"?
SMS messages may queue temporarily when:
High volume sending period (e.g. bulk send in progress)
Network carrier delays on the recipient's side
International delivery routing
Usually resolves within minutes. If messages remain queued for more than an hour, check your SMS credit balance (messages will queue if credits are depleted mid-send). If credits are available and messages remain queued for several hours, contact support.
Does Petboost support 2-way SMS?
Yes! With the Communications Booster add-on (available for Business Pro, Flex and Max plans):
Dedicated Australian mobile number (+61) assigned to your business
2-way SMS inbox in the Messages tab where customers can reply directly
Complete conversation history including automated messages (reminders, payment alerts) alongside manual replies
Additional SMS credits pooled with your plan allocation

How do I set up two-way SMS conversations?
Two-way SMS requires the Communications Booster add-on. Here is how to get set up from scratch:
Step 1: Check your plan. Communications Booster is available for Business Pro, Flex and Max plans. If you are on Calendar Lite, you will need to upgrade first.
Step 2: Activate Communications Booster.
Go to Settings, then SMS, then Communications Booster
Select Get Started with Communications Booster
Complete the verification form with your legal business name, ABN, street address, and a registration document
Submit. Reviews are usually approved within 1-3 business days. The number activates automatically after approval.
Step 3: Start messaging.
Once your verification is approved and your dedicated number is live:
The Messages tab appears in your main navigation
Search for a customer by name or phone number to start a conversation
Type your message and press Enter to send
Customer replies arrive in the same thread automatically
What to expect:
All automated SMS (reminders, payment alerts) sent to that customer also appear in their conversation thread, giving you full context
Inbound messages from customers are free; outbound messages use 1 credit each
Your dedicated +61 number is the number customers see, and they can save it as your business contact
What are SMS credit packs?
Top-up packs for businesses that need more SMS credits beyond their plan allocation:

Can I message anyone with Communications Booster?
No, you can only message existing pet owner customers in your Petboost account. Communications Booster is for customer conversations, not cold outreach or marketing blasts. Each conversation thread is linked to a customer profile.
Bulk SMS Questions
How do I send a mass/bulk announcement?
Petboost includes Bulk 1-Way SMS for sending a single message to many customers at once. Here is how to send one:
Step-by-step:
Go to Messages and choose Mass Text from the actions menu at the top of the thread list
Choose your mode:
Business Update for operational messages (holiday hours, closures, policy updates) - sent to all selected recipients regardless of marketing consent
Promotion for promotional messages (special offers, seasonal campaigns) - only sent to recipients who have opted in to marketing
Build your recipient list by searching or selecting all matching customers. To filter by service booked, animal type, last appointment date and more, use Bulk Send from the same menu. There is no suburb filter
Compose your message. Each recipient uses 1 credit, however long the message is
Review the content analysis results (Petboost checks for compliance with Australian Spam Act 2003 requirements)
Confirm the send - the screen shows estimated credit cost and recipient count before you send
After sending: View delivery tracking in the send history, including per-recipient status (sent, delivered, failed, skipped).
Important: Always include your business name in the message text, as recipients see a shared sender ID. Test by sending to yourself first.

Can I send bulk SMS to all my customers?
Yes! Petboost includes Bulk 1-Way SMS with two modes:
Business Announcements for operational messages (holiday hours, closures, policy updates)
Marketing SMS for promotional messages (special offers, seasonal campaigns)
Marketing SMS respects customer consent preferences. Customers who have opted out of marketing communications will be automatically skipped. Business announcements are sent to all selected recipients.
Recipients without a valid mobile number on file are also skipped. The send summary shows exactly how many recipients will receive the message and how many are being excluded (and why) before you confirm.
How does SMS consent work?
Each pet owner has a marketing consent preference visible in their profile. Customers can opt in or out of marketing communications. When you send a Marketing SMS via bulk send, only recipients with active consent receive the message.
Transactional messages (reminders, payment alerts) are not affected by marketing consent preferences - these are operational messages required for the services your customers have booked.
Consent can be updated by:
The customer replying STOP (opt out) or START (opt in) to any marketing SMS
Your team manually updating consent in the customer's profile
The customer managing their preferences in the pet owner portal

What is SMS content analysis?
Before sending a bulk SMS, Petboost analyses the message content for compliance issues. This helps ensure your messages meet Australian Spam Act 2003 requirements and don't contain content that could be flagged by carriers. If any issues are detected, you will see a warning with guidance on how to adjust your message before sending.
Can customers confirm appointments by replying to SMS?
Yes, with Communications Booster. When Confirmation Reply (Y/N) is on under Reminder Rules on Settings → Notifications, SMS reminders include the Confirmation Message prompt. The setting applies to the whole business and needs an active dedicated number. A Y reply keeps the appointment Confirmed and appears in Messages. Inbound confirmation replies from customers are free (no credit cost). Each text Petboost sends back uses an SMS credit.
Email Questions
My customer didn't get the booking confirmation
This is one of the most common support questions. Here is a systematic diagnostic checklist:
Step 1: Check the customer's email address.
Open the customer's profile in Customers & Pets and verify the email address is correct. Look for common typos: .con instead of .com, missing characters, extra spaces.
Step 2: Ask the customer to check spam/junk folders.
Email providers (especially Gmail and Outlook) frequently filter messages from new senders. Ask the customer to:
Search their entire mailbox for "Petboost" or "petboost.com.au"
Check the Spam, Junk, and Promotions folders specifically
Check the "Other" or "Focused" inbox if they use Outlook
Step 3: Check the communication log.
Open the customer's profile and view the communication history. Look for:
A booking confirmation entry with a delivery status of "sent" or "delivered" (the email was sent successfully but may have been filtered)
A status of "failed" or "bounced" (the email could not be delivered)
No entry at all (the notification may be disabled in your settings)
Step 4: Verify notification settings.
Go to Settings, then Notifications and confirm that booking confirmation emails are enabled. Also check the specific service's settings, as notification preferences can be overridden per service.
Step 5: Check Google Calendar invitation settings.
If the missing notification is a calendar invitation, the customer's Google Calendar may be set to hide invitations from unknown senders. Share the instructions from Ensuring Petboost Emails Arrive with your customer.
Step 6: Resend the confirmation.
Open the appointment, click the Manage dropdown, and select Resend to send the confirmation again.
Long-term fix: Ask the customer to add [email protected] to their contacts. This tells Gmail, Outlook, and other providers to always deliver Petboost emails to the inbox. See Ensuring Petboost Emails Arrive for step-by-step instructions you can share with customers.
Why didn't my customer receive an email?
Common reasons emails may not arrive:
Spam/junk folder - Most common issue, especially with Gmail and Outlook
Invalid email address - Typo or outdated email on the customer's profile
Full mailbox - Customer's inbox has reached its storage limit
Corporate filters - Workplace email systems may block external senders
Customer opted out - Unsubscribed from emails (rare, as Petboost emails are transactional)
Google Calendar filtering - Calendar invitations from unknown senders are hidden by default in Google Calendar

Can I customise the wording of automated SMS messages?
Partially. Petboost provides structured SMS templates that include your business name, pet name, service details, and appointment times automatically via template variables (e.g. {{PetFirstName}}, {{ServiceLabel}}, {{StartTime}}).
What you can customise:
Pre-appointment banner message - A custom message that appears at the top of appointment confirmation and reminder emails. Set this in the service's booking settings. Common uses: "Please arrive 10 minutes early", "Bring vaccination records", "Park in the rear car park".
Staff-triggered messages - Drop off, ready for pickup, and running late notifications can include custom text added by your team.
Communications Booster messages - If you have Communications Booster, you can compose any message you like and send it directly to a customer.
Bulk SMS messages - You write the full message content for business announcements and marketing SMS.
What you cannot customise:
The core template wording of automated SMS reminders, payment alerts, and booking confirmations. These follow a standard format to ensure clarity and compliance.
Custom email templates are not currently available for individual businesses. If you have specific template requirements, contact support to discuss your needs.
Can I customise email content?
Partially customisable elements:
Your business name and logo (pulled from your business profile automatically)
Business contact information
Footer message
Pre-appointment banner message (set per service)
Standard templates include:
Booking confirmations
Appointment reminders
Invoices and receipts

Custom email templates are not currently available. Contact support for specific requirements.
Can customers unsubscribe from emails?
Petboost only sends transactional emails (appointment confirmations, reminders, receipts). These cannot be unsubscribed as they contain essential appointment and payment information required for the services your customer has booked.
Petboost does not send marketing emails on your behalf. For marketing, Petboost provides email templates that open in your own email client for you to review and send manually, or you can use Bulk SMS for marketing messages with built-in consent management.
Reminder Settings
What's the best reminder timing?
Recommended settings for most businesses:
24-hour reminder: Email + SMS (gives time to cancel if needed)
2-hour reminder: SMS only (same-day confirmation)
Adjust based on:
Customer travel distance (longer travel = earlier reminder)
Service preparation requirements (e.g. "bring vaccination records" needs more notice)
Historical no-show patterns (if no-shows are high, consider adding a 48-hour reminder)
Customer preferences and service type
Common configurations by business type:
Groomers: 24-hour email + SMS, 2-hour SMS
Dog trainers: 48-hour email, 24-hour SMS
Daycare/boarding: 24-hour email + SMS
Mobile services: 24-hour email + SMS, 2-hour SMS (so customers know to be home)
Can I disable reminders for certain services?
Yes, reminder settings can be configured per service:
Navigate to Services, then open the service
Go to the Notifications tab
Configure reminder preferences
Save changes
This is useful for:
Same-day bookings (no 24h reminder needed)
Recurring appointments (customers already know their schedule)
Special VIP services with custom communication arrangements
Group lessons where reminders are managed separately
Do reminders go out on weekends and holidays?
Yes, automated reminders are sent based on appointment timing, not business hours.
If an appointment is on Monday morning, the 24-hour reminder sends on Sunday morning. Reminders do not skip weekends or public holidays. This is by design, as customers need to receive the reminder regardless of the day of the week to reduce no-shows.
Can I send a reminder manually for a specific appointment?
Yes, you can resend any notification for a specific appointment:
Open the appointment from your calendar or the appointments list
Click the Manage dropdown
Select Resend
Choose the channel: Email, SMS, or both
This is useful when:
A customer says they did not receive the original notification
You want to send an extra reminder closer to the appointment time
A notification failed to deliver and you want to retry
Note: Resending uses 1 SMS credit per SMS sent. The resent message appears in the customer's communication log.
If you have Communications Booster, you can also send a free-text message to the customer from the Messages tab, which gives you more flexibility than resending the standard template.
Customer Opt-Outs & Preferences
How do I check if a customer has opted out of communications?
View notification preferences in the customer profile:
Go to Customers & Pets
Open the customer's profile
Look for the Communication Preferences section
Review which channels are enabled or disabled
What you will see:
SMS notifications: On or Off (if off, no automated SMS are sent)
Marketing consent: Opted in or Opted out (affects bulk marketing SMS only)
Opt-out method: How the preference was set (customer replied STOP, staff updated, or customer changed via portal)
Date of last change: When the preference was last updated
You can also check during a bulk SMS send. When composing a Marketing SMS, the recipient selection screen shows how many recipients have marketing consent and how many will be skipped.
Quick check from the communication log: If a customer's recent messages show "skipped - opted out" in the delivery status, they have opted out.
Can I re-enable notifications for an opted-out customer?
Only the customer can re-opt in to SMS.
If a customer wants to receive SMS notifications again:
They reply "START" to any previous SMS (for SMS opt-in)
They click resubscribe in email footer (for transactional emails)
Or they contact you to update their preferences
For marketing consent specifically, your team can update a customer's marketing consent status from their profile (Communication Preferences section). However, SMS delivery opt-outs (where the customer replied STOP) can only be reversed by the customer themselves replying START.
Staff cannot override a customer's SMS delivery opt-out for compliance with Australian telecommunications regulations.
Communication Logs
Can I see what messages were sent to a customer?
Yes, communication history is logged per customer:
Open customer profile
View communication log/history section
See all sent messages with:
Date and time
Channel (SMS/Email)
Message type (e.g. appointment reminder, booking confirmation, bulk SMS)
Delivery status (sent, delivered, failed, skipped)
Failure reason (if applicable)
If you have Communications Booster, the Messages tab also shows the full conversation thread with that customer, including both automated and manual messages in chronological order.
Why is a message showing as "failed"?
Common failure reasons:
Status | Meaning | Solution |
Failed - Invalid number | Phone number incorrect or missing | Update the customer's phone number in their profile |
Failed - Opted out | Customer replied STOP | Respect the preference; communicate via email instead |
Failed - Bounced | Email address invalid or full | Update the customer's email address |
Failed - Carrier rejected | Mobile carrier blocked the message | Verify number format; try a different number if available |
Failed - No credits | SMS credit balance exhausted | Buy a pack on Settings > SMS > SMS Top-up Credit Packs, or turn on Auto top-up |
Skipped - No consent | Marketing SMS with no opt-in | Customer has not consented to marketing; use announcements |
Skipped - No number | No mobile number on file | Add a mobile number to the customer's profile |
Troubleshooting
Customers aren't receiving any notifications
Check these in order:
Verify contact details - Correct email and mobile phone number in the customer's profile?
Check opt-out status - Has the customer replied STOP or been opted out? View their Communication Preferences.
Review notification settings - Are notifications enabled for this service type? Check Settings, then Notifications, and also the service-level overrides.
Check SMS credit balance - If credits are exhausted, SMS notifications will stop. Check Settings > SMS.
Check spam folder - Ask customer to check spam/junk and search for "Petboost"
Review communication log - Open the customer's profile and check the communication log for delivery statuses and failure reasons
Test with yourself - Create a test booking with your own email and mobile number to confirm notifications are working
Contact support - If all the above checks pass and the issue persists
Notifications are going to the wrong person
This usually means:
Customer contact details are outdated
Pet is linked to the wrong owner profile
Multiple profiles exist for the same customer (duplicate records)
Solution:
Verify the correct owner is linked to the pet in question
Update contact details if they are outdated
If two profiles exist for the same person, keep the one with the history, move future bookings to it, then Manage Owner > Archive or Delete Account on the other. Petboost does not merge two profiles. See How do I merge duplicate customer records?
Can I manually send a notification?
Yes, you can resend communications:
Open the appointment
Use the "Manage" dropdown
Select "Resend" option
Choose channel (Email or SMS)
Manual messages can also be sent from the customer's profile for non-appointment communications, and from the Messages tab if you have Communications Booster.
Staff-triggered notifications (drop off, ready for pickup, running late) are always manual and are sent from the appointment screen by your team.

Verify customer details at booking - Confirm email and mobile phone number are correct
Use consistent branding - Upload your logo and set your brand colours in Settings, then Branding
Set appropriate reminder timing - Based on your business type and service requirements
Monitor delivery rates - Check communication logs periodically for failed or bounced messages
Respond to opt-outs gracefully - Don't try to override; communicate via alternative channels instead

Encourage customers to add
