The Recurring Series Timeline is a dedicated view inside each pet's profile that gives you full, at-a-glance visibility of every recurring series set up for that pet. It is the single source of truth for understanding how recurring appointments fit together, identifying duplicates, and resolving unexpected behaviour such as cancelled appointments reappearing.
Why This View Exists
Recurring appointments are powerful, but over time it is common for businesses to accumulate multiple overlapping series for the same pet. This happens naturally when:
The walker or team member changes and a new series is created without ending the old one.
The time of day changes on certain days, leading to a separate series for those days.
The service type changes (e.g. switching between a half-hour walk and an hour walk).
A series was cancelled but never formally ended, leaving its recurrence rule open-ended.
When multiple series overlap on the same days, the system's nightly job can produce confusing side effects: a cancelled appointment may reappear because a second, dormant series fills the gap overnight. The Timeline view surfaces all of this clearly so you can tidy things up in minutes.
Accessing the Timeline
Navigate to Customers & Pets.
Open the pet's profile.
Open the Appointments tab and switch the toggle to Recurring Series.
The tab displays:
A Timeline grid for all active series (and any flagged duplicates).
Ended Series cards below the grid for historical reference.
100% Cancelled Series cards at the bottom.
Understanding the Timeline Grid
The grid is a horizontally scrollable calendar with one row per active recurring series and one column per day. It auto-scrolls to today on load.
Column Headers
Each column shows the day name and date. Today's column is highlighted in blue with a vertical blue line running through the grid.
Row Headers (Series Sidebar)
Each row's left-hand header shows:
Service name and pet name.
Day chips (e.g. Mon, Thu) indicating which days of the week the series covers.
A RAG status dot: green (no overlap), amber (multiple series on same day but at different times), or red (at risk of regeneration conflicts).
A "More Details" expander showing the recurrence pattern, first appointment date, last completed date, and whether the series is indefinite.
A "Manage" dropdown with options to Edit Recurring Series or End Series.
Cell Indicators
Each cell in the grid represents one day for one series:
Indicator | Meaning |
Green dot | Appointment exists with no overlap on that day. |
Red dot (pulsing) | At risk: multiple series target this day and cancelled appointments may regenerate. |
Dashed border cell | Appointment not yet created by the nightly job (future placeholder). |
Up arrow icon | A dormant/duplicate series would create an appointment here if the active one is cancelled. |
Day Totals Footer
The bottom row shows how many series target each day with a colour-coded dot summarising the overlap status for that column.
Active Series vs Duplicate Series
The grid is split into two sections separated by a divider:
Active Series (top section, green header)
These are the series you intend to keep running. Each has upcoming confirmed or pending appointments and is generating new ones as expected.
Duplicate Series (bottom section, red header)
These are series that:
Target the same days as an active series.
Have no visible appointments of their own because the system blocks duplicate appointments on the same day.
Have not been formally ended, meaning their recurrence rule is still open-ended.
Duplicate series are the root cause of the "cancelled appointment reappearing" problem. When you cancel an appointment from the active series, the duplicate series detects an open slot on that day and fills it overnight.
The "Cancelled Appointment Reappearing" Problem
This is the most common issue the Timeline helps resolve. Here is how it happens:
A pet has two (or more) recurring series targeting the same day of the week.
Only one appointment per day is created because the system prevents duplicates.
You cancel the visible appointment (from the active series).
Overnight, the dormant duplicate series sees the gap and creates a replacement appointment.
The appointment appears to have "come back" despite being cancelled.
If you cancel it again, a third series (if one exists) would fill the gap. This cycle continues until all duplicate series on that day are ended.
How to Identify This
The Timeline grid shows red "At Risk" indicators on days where this can happen.
Duplicate series rows show up-arrow icons on cells where they would create an appointment if the active one were cancelled.
A red banner appears at the top of the grid when duplicates are detected, with a count of conflicting days.
How to Fix This
Click the "Clean up duplicates" button in the red banner, or
Click "Deactivate" on each duplicate series row individually.
Deactivating a series sets an end date, permanently preventing the nightly job from creating any further appointments from it.
Ending and Deactivating a Series
There are two actions available depending on the series state:
End Series (for active series)
Use this when a series has upcoming appointments but you want to stop it going forward.
Click "Manage" on the series row header.
Select "End Series".
Review the confirmation dialog showing:
The series summary (service, pet, days, pattern).
How many future appointments will be archived.
The end date (set to today).
Click "End Series" to confirm.
What happens:
An end date is set on the recurrence rule.
All future confirmed/pending appointments after today are archived.
Any held payments on those appointments are released.
The series moves to the "Ended Series" section.
Deactivate (for dormant/duplicate series)
Use this when a series has no upcoming appointments but its recurrence rule is still open-ended.
Click "Deactivate" on the duplicate series row.
Review the confirmation dialog explaining:
The series is dormant but not officially ended.
The nightly job could still create appointments from it if a slot opens up.
Click "Deactivate" to confirm.
What happens:
An end date is set, putting the series to sleep permanently.
No future appointments will ever be created from this series.
The series moves to the "Ended Series" section.
RAG Status Banner
A status banner appears above the grid when issues are detected:
Banner Colour | Meaning |
Red | Duplicate series detected. Cancelled appointments may regenerate. Shows a "Clean up duplicates" button. |
Amber | Multiple series generate appointments on the same days but at different times. No action is needed. |
No banner | Everything is healthy. All series are clean with no overlaps. |
Toolbar Controls
The toolbar above the grid provides several useful controls:
Control | What It Does |
Today | Scrolls the timeline to centre on today's date. |
Hide inactive days / Show all days | Toggles visibility of days where no series has appointments (e.g. weekends for a weekday-only walker). |
Collapse 1st Column / Expand 1st Column | Minimises or expands the series sidebar for more grid space, useful on smaller screens. |
Scroll and Navigation
Left/Right chevrons appear at the edges when more content is available.
Load earlier / Load later buttons at the bottom extend the visible date range (up to 6 months in each direction).
The current date range is displayed in the footer.
Legend
A legend appears below the toolbar:
Green dot: No overlap.
Red dot (pulsing): At risk.
Dashed border: Not yet created.
Ended and Cancelled Series
Below the timeline grid, two additional sections display historical series:
Ended Series
Series that were formally ended (via "End Series" or "Deactivate"). These are inactive and will never create new appointments. Each card shows the series summary and you can expand it to see its appointment history.
100% Cancelled Series
Series where the source appointment itself was cancelled. These are distinct from ended series and are shown separately for clarity.
Clicking a Day Cell
Clicking any cell in the grid opens a detail dialog for that specific date, showing:
All series that target that day.
The status of each series' appointment on that date (materialised, cancelled, not yet created).
Any overlap or conflict information.
Recommendations for resolving issues.
Best Practices
Keep It Simple
Ideally, a pet should have one recurring series per distinct schedule. For example:
One series for Monday and Thursday walks.
One series for Friday walks (if with a different walker or at a different time).
End Series When Changing Patterns
When a pet's schedule changes (new days, new times, new service), always end the old series before creating a new one. This prevents dormant series from lingering and causing regeneration issues.
Regular Audits
Periodically check the Recurring Series view (Appointments tab) for pets with complex schedules. If you see warnings or multiple series, take a few minutes to tidy up.
Use Deactivate for Quick Clean-Up
If you see duplicate series flagged in the red section, use the "Clean up duplicates" button to review and deactivate them one by one. This is the fastest way to resolve regeneration issues.
Troubleshooting
"I cancelled an appointment but it came back the next day"
This is almost certainly caused by a duplicate recurring series. Open the pet's profile, open the Appointments tab, switch to the Recurring Series view, and look for duplicate series in the red section. Deactivate all duplicates to prevent this from happening again. See The "Cancelled Appointment Reappearing" Problem above.
"I see warnings on the timeline but appointments look fine on the calendar"
The timeline shows potential conflicts, not just current ones. A red warning means that if you were to cancel an appointment on that day, a duplicate series could fill the gap. Clean up the red duplicates to avoid future surprises.
An amber indicator simply means multiple series generate appointments on the same day at different times. This is completely normal and expected (e.g. a morning walk and an afternoon grooming session for the same pet). No action is needed for amber indicators.
"I have two recurring appointments for the same pet on the same day. Is that a problem?"
No. Having multiple recurring series for the same pet on the same day at different times is a supported and normal configuration. The amber "Multiple series on this day" indicator is purely informational. Both series will continue generating appointments correctly and won't interfere with each other. This is common when a pet has separate services at different times (e.g. a walk in the morning and a groom in the afternoon).
"A series shows as dormant but I didn't create it"
Dormant series often result from schedule changes made months ago where the old series was not formally ended. The recurrence rule stayed open-ended even though no appointments were being generated (because the active series was blocking them). Simply deactivate it.
"I ended a series but appointments still exist on the calendar"
Ending a series archives future unstarted appointments. Any appointments that are already completed, paid, or in progress are not affected. If you need to remove specific past appointments, manage them individually from the calendar or the Appointments tab.
"How do I know which series is the 'right' one to keep?"
Look at the series details in the row header: the service name, days of the week, and first appointment date. The series that matches the pet's current schedule is the one to keep. Duplicates typically have older start dates and are shown in the red section.
