Pet & Owner Profiles
Overview
The Pet & Owner Profile is your central source of truth for every pet and their owner. It combines the pet's identity, care preferences, and owner information, all managed collaboratively between you and your customers.
Key Concept: Unlike traditional customer-first systems, Petboost is pet-centric. Each pet has their own profile with their owner linked to them. This means you see the pet first, with full context about their care needs, before looking at billing or owner details.
Profile Layout
When you open a pet's profile, you'll see:
Left Panel: Pet & Owner Summary
Pet Photo & Name: The pet's profile photo with quick edit options
Owner Information: Name, phone, email with click-to-call/text buttons
Family Pets: Other pets belonging to the same owner (siblings)
Quick Actions: Edit pet, edit owner, add sibling buttons. Manage Pet and Manage Owner also include Cancel Future Appointments when you need to cancel that pet's or that owner's upcoming bookings. See Cancel a customer's future appointments.
Vaccination Status: At-a-glance compliance indicator
Right Panel: Tabbed Content
These tabs always show:
[Pet name]'s Petprint: identity dashboard, including the Vaccination Certificates card
Pet & Owner Details: contact and veterinary details
Wallet: card on file and payment activity. It is named Wallet & Packages, Wallet & Memberships or Wallet, Packages & Memberships when you sell those, and holds Wallet Activity, Packages and Membership Plans
Appointments: booking history and upcoming bookings
Timeline & Notes: notes and attachments
Sales: transaction history
Fields & Forms: custom fields and form responses
Settings & Overrides: per-customer settings
Paperwork: agreements and contracts
These show only when they apply:
Action Required: an unfinished sign-up or booking
Messages: with Communications Booster or an Enterprise plan
Care & Grooming Templates: for grooming businesses
Petprint Overview
The Petprint is the pet's identity dashboard: the first thing you see when opening a profile.
Statistics Row
At the top, you'll see key metrics:
Total Appointments: Lifetime booking count
Last Visit: Date of most recent appointment
Total Spend: Lifetime value for this pet
Average Booking Value: Per-appointment revenue
Visit Frequency Badge
Petboost calculates how often each client typically visits based on their completed appointment history, and displays a colour-coded badge on customer profiles, appointment cards, and Mission Control.
Green (on track) - The client is visiting at their usual frequency and has an upcoming appointment booked
Amber (due soon) - The client's next visit is expected soon based on their usual pattern
Red (overdue) - The client has gone longer than usual between visits and may need a follow-up
Grey - Usual frequency is shown but no upcoming appointment is booked
Hover over the badge to see the full detail: average visit interval, number of past visits, last visit date, and when the next visit is expected or booked.
This helps you identify loyal regulars at a glance and spot clients who may be drifting away before they churn.
Favourite Services
Based on booking history, Petboost shows the pet's most-used services:
Service name and frequency
Last booking date
Quick "Book Again" button
Service image for visual reference
Date of birth and age
When a birthday is on the pet, a date-of-birth badge sits next to their name on the Pet Summary Card. The badge face is the age in years, months and weeks. Tap it to see the full breakdown in years, months, weeks and days, plus the date of birth. Add or change the birthday with the edit icon next to the pet's name.
Petprint card
The Petprint card holds what the pet is: its attributes and tags.
Care counts
When a pet has attributes that carry a warning, count chips sit at the top of the card:
Major care (red): critical conditions requiring immediate attention
Special care (amber): allergies, medical conditions, medication
The counts come from the attributes below. A pet with no such attributes shows no chips.
Attribute rows
Attributes are listed one row per category, with the values on the row:

Every row is shown whether or not it holds anything, so an empty row reads Not recorded. Within a row, red attributes come first, then amber, then the rest.
To add an attribute to a row, select Add on that row and choose from the list. To remove one, hover the attribute and select the cross. To work across every category at once, use Search attributes… in the card header.
Rows for Custom attributes (created by your business) and Other attributes appear only when the pet has them. Grooming preferences live in the Care & Grooming Templates tab, not here.
Tags
The Tags row at the bottom of the card is where pet tags are added and removed. The summary card on the left shows the same tags for reference.

Select Edit in the card header to fill in anything showing Not recorded.
Pet details card
If your business has set up pet fields in Fields & Forms, filled values and required empty fields appear in the Pet details card. Optional empty fields stay hidden until you select Show empty fields or edit. Select the pencil in the card header to edit them. The card does not appear when the business has no pet fields.
Vaccination Certificates card
Certificates on file with their expiry status. See Vaccination Certificates.
Photos card
Photos from this pet's appointments, newest first, grouped by date. Select a photo to open it full size, and use the layout control to change how many photos sit on a row.
Appointments Tab
View and manage all appointments for this pet.
Features
Upcoming Appointments: Next scheduled bookings with date, time, and service
Past Appointments: Complete history with status and outcomes
Quick Filters: Filter by status (confirmed, completed, cancelled)
New Appointment Button: Create a booking directly from the profile
Family Pet Toggle
For pet owners with multiple pets, toggle between:
This Pet Only: Appointments for the current pet
All Family Pets: Appointments for all pets belonging to this owner
This is useful when coordinating sibling appointments or viewing family booking patterns.
Appointment Cards
Each appointment shows:
Date and time
Service(s) booked
Assigned team member
Status badge
Price/payment status
Click any appointment to open the full appointment detail view.
Packages
Manage pre-paid package credits for this customer. Packages is a sub-tab of the Wallet tab when you sell packages.
Package Balance Overview
See all active packages with:
Package name
Remaining credits/value
Original package value
The badge colour indicates balance status:
Green: Plenty of credits remaining
Amber: Running low
Red: No credits left
Package Activity Log
Track how package credits have been used:
Redemption date
Appointment applied to
Credits/value used
Remaining balance after redemption
Purchase New Package
Direct link to add a new package purchase for this customer.
Sales Tab
Complete transaction history for this customer.
Transaction List
All sales (excluding pending payments) with:
Transaction date
Description (service, product, or package)

Create a new sale directly from the profile. This is useful for:

Wallet Tab
The Wallet tab provides a complete view of the customer's payment method and all payment-related activity: cards added, payments processed, refunds issued, and more.
Why it matters: Instead of logging into Stripe separately, you can see everything about a customer's payment history right here in their profile. This makes troubleshooting payment issues, answering customer questions, and understanding their payment behaviour much easier.
Card on File
At the top of the Wallet tab, you'll see the customer's saved payment method:
Card brand logo: Visa, Mastercard, Amex, etc. displayed with the actual brand logo
Last 4 digits: Quick identification of which card
Expiry date: When the card expires
Status indicator: Shows if the card is active or expired
If no card is on file, the Wallet tab shows an empty state. Tap Text card request to SMS them a secure link that opens straight to the add-card form.
Payment Activity Timeline
Below the card display, a timeline shows all payment and card-related events for this customer. Events are grouped by date (Today, Yesterday, This Week, etc.) and displayed in chronological order with the most recent first.
What You'll See
Payment Events:
Each payment shows:
Amount and status: How much was charged and whether it succeeded, failed, or is pending
Appointment details: If the payment relates to an appointment, you'll see the pet photo, service name, date/time, and a "View Appointment" button
Payment method: Which card was used (brand logo + last 4 digits)
Date and time: When the payment was processed
Refund Events:
When a refund is issued:
Refund amount: How much was refunded
Reason: Why the refund was issued (if provided)
Status: Pending, succeeded, or failed
Original payment link: Quick reference to what was refunded
Card Added/Removed Events:
Track when payment methods change:
Card added: When the customer saved a new card (green indicator)
Card removed: When a card was deleted from their account (amber indicator)
Card updated: When card details changed (e.g., new expiry date)
Card details: Brand logo, last 4 digits, and expiry for the affected card
Dispute Events:
If a customer disputes a charge:
Dispute status: Open, won, lost
Amount under dispute: How much is being contested
Reason code: Why the customer disputed (if provided)
Action Buttons
Each payment event includes quick actions:
View Appointment: For payments linked to appointments, opens the appointment detail view
View in Stripe: Opens the transaction directly in your Stripe Dashboard for full details
These buttons appear side-by-side on desktop and stack on mobile for easy tapping.
How Events Appear
Events use visual cues to make the timeline easy to scan:
Green indicators: Successful payments, completed refunds, cards added
Red indicators: Failed payments, rejected refunds, disputed charges
Amber indicators: Pending items, card removals, warnings
Card brand logos: Instantly recognise Visa, Mastercard, Amex, etc.
Loading More Events
If the customer has a long payment history, click Load More at the bottom to fetch older events from Stripe.
Care & Grooming Templates Tab
This tab shows when your business offers grooming. History lists past grooms. Preferences holds three cards:
Coat Type
Grooming Preferences: grooming attributes such as #7f blade or 6mm Comb
Grooming Templates: Head and Face, Body and Tail and Feet and Legs, each with notes and photos
How It Works
Add grooming preferences during or after an appointment
Preferences persist and appear on all future bookings
Staff sees preferences before starting work
Update as preferences change over time
Vaccination Certificates
Vaccination certificates and titer test results sit on the Vaccination Certificates card on the [Pet name]'s Petprint tab. The summary card shows the vaccination status and a Vaccinations row. Select Manage there, or Edit on the card, to add or change certificates.
Each certificate has a Certificate Label, a Date Administered and an Expiry Date (Optional). Select Add Certificate to add another, then Save Vaccination Records.
Auto-Compliance
When configured, Petboost can:
Block bookings for pets with expired vaccinations
Allow staff override for emergencies
Send reminders before vaccinations expire
Show compliance status on appointment cards
Settings & Overrides Tab
Per-customer policy customisation.
Policy Overrides
Override your business settings for specific customers. The tab has these sections:
How They Can Book: including Book Without Card
Scheduling Rules: the booking notice period
Reminders & Updates: reminder and update channels and timing
Payment Automation: Pre-Hold Funds and Auto-Pay Invoices
There is no per-customer cancellation policy. Cancellation rules come from your business and service settings.
Why Use Overrides?
Trusted Regulars: Shorter booking notice, relaxed pre-auth requirements
New Customers: Require a card on file
Problem History: Stricter settings for no-show customers
VIP Treatment: Premium customers get flexibility
How to Set Overrides
Open the Settings & Overrides tab
Change the setting you want. Each on/off setting starts at your business default, and the row shows Different to default once you change it
For timing settings, turn off Use business default and set the value
Overrides apply to all future bookings for this customer.
Paperwork Tab
Manage service agreements, waivers, and contracts.
Document Types
Service Agreements: Terms of service acceptance
Liability Waivers: Risk acknowledgement forms
Health Declarations: Pet health confirmations
Custom Contracts: Any business-specific documents
Document Status
Each document shows:
Document name/type
Signed date (or "Pending")
Expiry date (if applicable)
Signatory name
How customers accept terms and paperwork
First log in - If they have not agreed to your terms, a pending-requirements banner appears at the top of the pet owner app. They tap it and accept.
Self-service booking - The owner accepts terms in the booking flow when a terms PDF is uploaded, or completes an intake form that includes a Signature field.
Kiosk Mode - Walk-in clients agree to your terms on a front-desk tablet. See Kiosk Mode.
Staff fill or Copy Link - On an intake form, use Fill for owner at the desk, or Copy Link / Send Form so they complete it on their own phone.
The Paperwork tab stores agreements that have already been accepted. It does not capture a new signature on your device.
Chase unsigned terms
If a customer has not agreed and they have a future active booking, they appear in Mission Control > Attention Required > Terms Not Agreed. Tap Send SMS request, or turn on Bulk SMS Mode. The send is logged on Timeline & Notes. See Policies & Paperwork.
Pending Paperwork Alerts
The Paperwork tab shows documents that are still pending or expired. For upcoming bookings that are missing required terms, use Terms Not Agreed in Mission Control.

Select Manage Owner > Edit Owner Details in the summary panel
Update contact information:

Address Management
Each owner has one address, set in Suburb and Address under Edit Owner Details. A mobile appointment keeps its own service address. To change it for one visit, open the appointment and select Change Location. If you change the owner's address while they have upcoming mobile visits at a different address, Petboost asks Update upcoming visit addresses?

Managing Family Pets
Viewing Siblings
The summary panel shows other pets belonging to the same owner:
Pet names and photos
Click to navigate to their profile
Adding a New Pet
Click New Pet button
Enter pet details (name, breed, gender required)
Owner information is automatically linked
Complete profile
The new pet is created under the same owner account.
Multi-Pet Bookings
When booking for a family:
Select multiple pets in the booking form
Each pet can have different services
Invoice consolidates all pets
Unfinished Profiles
What is an Unfinished Profile?
Profiles created via self-service booking that weren't completed:
Customer started booking but didn't finish
Basic info exists but details are missing
Profile is marked as "Draft"

When you see the "This Pet Owner's profile is unfinished" banner:
Click Edit Owner Details

Save to remove draft status
