Getting Started with Customers & Pets

This guide will help you start managing customer and pet profiles in your business. Learn how to add new customers, navigate pet profiles, and understand the essential features.

Accessing Customers & Pets

Navigate to Customers & Pets from the main navigation menu to see your customer and pet records.

Customers & Pets List View

What You'll See

  • Pet Cards - Each pet is displayed with their photo, name, breed, and birthday

  • Owner Information - Owner name, contact details, and card on file status

  • Search Bar - Find customers by pet name, owner name, phone, or email

  • Filter Button - Filter by animal type or card status

  • Add New Button - Create new customer and pet profiles


Adding Your First Customer and Pet

Petboost creates customers and pets together in one simple flow.

Quick Access Links

You can open the customer & pet creation form directly using these links:

  • Create New Customer & Pet: https://business.petboost.com/customers-and-pets?action=create

Benefits:

  • Bookmark creation forms for quick access

  • Share direct links to specific forms

  • Connect with external CRM systems

  • Browser back/forward navigation works naturally

Step 1: Click "Add New"

  1. Click the green "Add New" button in the top right, or use Create New Customer & Pet

  2. The customer creation form will open

Step 2: Enter Owner Information

Required Fields:

  • First Name - Customer's first name

  • Surname - Customer's last name

  • Phone - Contact phone number

Optional Fields:

  • Email address

  • Street address

  • Suburb/City

  • State/Province

  • Postcode

  • Emergency contact name and phone

Step 3: Add Pet Details

Required Fields:

  • Pet Name - What you'll call the pet

  • Breed - Select from the breed list

  • Gender - Male or Female

Optional Fields:

  • Birthday - Date of birth

  • Desexed status

  • Weight and height

  • Quick notes about the pet

Step 4: Complete Creation

  1. Review all information

  2. Click "Complete Required Fields"

  3. The pet profile will open automatically

💡 Tip: You can add more pets to the same owner later from the pet profile page.


Understanding Pet Profiles

Once created, each pet has a comprehensive profile with multiple tabs.

Profile Tabs

When managing a pet profile, you'll see multiple tabs that scroll horizontally. Use the arrow buttons (< >) to navigate between tabs when they don't all fit on screen.

Left Sidebar Information

Each pet profile displays essential information in the left panel:

Pet Details:

  • Pet photo with edit button

  • Name with quick edit option

  • Breed and gender

  • Desexed status

  • Quick notes field

  • Current weight and last updated date

  • Birthday

Owner Information:

  • Owner name with quick edit button

  • Payment card status

  • Pet Parent relationship

  • Call and Text buttons

  • Stored payment method details

Emergency Contact:

  • Emergency contact details

  • Quick access in urgent situations

Family Pets:

  • View all pets belonging to this owner

  • Quick navigation between siblings

  • Total pet count


Searching and Filtering

Using Search

The search bar finds customers by:

  • Pet name

  • Owner name

  • Phone number

  • Email address

Search Tips:

  • Type as you go - results appear instantly

  • Partial names work (searching "Choc" finds "Chocolate")

  • Phone numbers can be searched with or without formatting

  • Email searches are not case-sensitive

Using Filters

Click the Filter button to narrow results:

  • Animal Type - Dogs, cats, or other animals

  • Card Status - Customers with payment cards on file

Click Reset to clear all filters and search terms.


Quick Actions

From any pet profile:

Call Owner - Click the phone icon to initiate a call

Text Owner - Click the message icon to send a text

New Appointment - Book a service from the Appointments tab

New Pet - Add another pet for the same owner

Manage Vaccinations - Quick access from the sidebar card


Bulk Edit Pet Details

Update pet information across multiple pets at once using the spreadsheet-style bulk editor. This is useful for filling in missing details after a data import or tidying up records in bulk.

How to Access

  1. Go to Customers & Pets

  2. Click the actions menu (top right)

  3. Select Bulk Edit Pet Details

Note: Bulk edit requires the Bulk Manage Customers permission and is only available on desktop.

Filtering

Before loading the grid, you can choose to show all pets or narrow the list to pets with specific gaps:

  • Missing Weight - pets with no recorded weight

  • Missing Birthday - pets with no date of birth

  • Missing Breed - pets with no breed assigned

  • Missing Desexed Status - pets with no desexed information

You can select multiple filters. The count of affected pets is shown for each filter.

Pet Name and Owner Name are displayed for reference but cannot be edited in the grid.

Saving Changes

  • Changes are highlighted in the grid as you edit

  • Use Undo (Cmd+Z) and Redo (Cmd+Shift+Z) to revert or reapply edits

  • When you are ready, click Publish Changes in the bottom bar to save all edits at once

  • You can also click Discard All to revert all unsaved changes

  • If you try to leave the page with unsaved changes, you will be prompted to confirm

Understanding Draft Profiles

You may notice some profiles with a Draft status. These are real records created when a customer started the online sign-up or booking process but didn't complete it.

Key points about draft profiles:

  • They appear with placeholder names like "[Buddy] [Owner]" until converted

  • They are NOT duplicates and should not be deleted

  • They can be converted to full profiles by completing the required fields (name, phone, pet name, breed, gender)

  • You can convert a draft account inline while creating an appointment - no separate step needed

  • Use the "Show Drafts" filter in Customers & Pets to find them

Converting a draft preserves all information captured during the partial sign-up, including pet details and any booking data.
