Report Cards

Overview

Report cards are shareable summaries of a pet's appointment that you can preview, print as a PDF, or send to the pet owner by SMS. Petboost builds them from the customer-visible business notes and photos you add during an appointment.

The report card includes session notes, a photo gallery, pets mentioned as playmates, and prompts to rebook or leave a review.


When report cards become available

Report card actions sit in the appointment Manage menu, under Print & Reports. They appear after you add customer-visible notes or photos.

They do not appear on the calendar Manage menu. There is no Quick Actions panel on the appointment.

To unlock them:

  1. Open the appointment

  2. Open Notes & Attachments

  3. Stay on Business Notes (do not switch to Pet Owner Notes)

  4. Add text in Customer-facing Notes, or attach photos

  5. Open Manage and use Print & Reports

Private Internal Notes (private) do not activate report cards. Only customer-visible content does.


Report card actions

Once available, three actions appear under Print & Reports:

Preview Report Card

To check what the owner will receive, select Preview Report Card. This opens the same full-screen interactive experience they see, with a Preview Mode label in the corner.

The preview includes:

  • Hero section: pet photo, service name, date, team member and business attribution

  • Session notes: the customer-visible notes you wrote, labelled with the team member's name

  • Played with friends: if you mentioned other pets in the notes, they appear as badges with pet name and breed

  • Photo gallery: polaroid-style grid with a lightbox for browsing

  • Book again: a prompt to rebook (disabled in preview mode)

  • Share your experience: star rating that guides the owner towards a Google review (4-5 stars) or a direct message to the business (lower ratings)

Print Report Card

To create a PDF, select Print Report Card. This opens a configurator where you choose what to include:

To generate the PDF, select Download. The file is named {PetName}-Report-Card.pdf.

Send Report Card SMS

If Communications Booster is on, or the account is on Enterprise, Send Report Card SMS opens a send dialog with the recipient and a message preview. The SMS includes a link that opens the report card in the pet owner portal.

The message greets the owner by first name, says the report card is ready, and includes the link.

If the pet owner has already opened that link, the action and the send dialog show an Opened badge. Opening the link again does not change the badge.


Send report cards from Mission Control

If Communications Booster is on, or the account is on Enterprise, Spotlight on Mission Control shows two extra swimlanes for finished visits that have customer-visible notes or photos:

  • Report Cards to Send - the owner has not been sent the current report card

  • Report Cards Sent - the owner has been sent the current report card

Cancelled, declined, and no-show visits do not appear. If you edit the customer-visible notes or photos after a send, the visit moves back to Report Cards to Send.

To send several report cards at once:

  1. Open Mission Control

  2. Select the Spotlight view

  3. On Report Cards to Send, select Bulk Send

  4. Leave selected the visits that have a mobile number, or clear the ones you do not want

  5. Select Send report card (or Send N cards when sending more than one)

Petboost sends each SMS one after another. Visits without a mobile number stay in the list and are not sent. After the batch finishes, sent visits move to Report Cards Sent.


What the Pet Owner Sees

When a pet owner opens their report card (via SMS link or from their portal), they see the full interactive experience:

  1. Pet hero with confetti animation on open

  2. Session notes from the team member

  3. Played with friends (if applicable)

  4. Photo gallery with lightbox browsing

  5. Next visit or Book Again prompt

  6. Share your experience with star rating

  7. Share button (native share or copy text)

Owners who rate 4-5 stars are guided towards leaving a Google review with a suggested review template based on the service category. Owners who rate lower are offered direct contact options (SMS, email, phone) to share feedback privately with the business.


Tips

  • Add notes and photos during or right after the service so report cards are ready to send while the experience is fresh

  • Use the customer-visible notes field, not private internal notes, for content you want on the report card

  • Mention other pets by name in your notes if they played together; these are automatically parsed into the "Played with friends" section

  • Preview before sending to check that photos, notes, and attribution look right
