Using the Booking Form

The booking form is where you create and edit appointments. It handles the pet, the services, the time, team members, resources, notes and payment.


Courses are not on this form

The New Appointment form lists Regular, Initial, Add-on, and Stay services. It does not list courses or group classes.

To enrol a pet in puppy school, scentwork, or any other course:

  1. Go to Courses.

  2. Select New then Enrol pet(s), or open the course card, select Manage, then Enrol Pet.

Do not create a Regular service so the class appears in the Services picker. See Courses versus services.


Opening the form

  • To create an appointment: on the Appointments page or Calendar, click Create, or click an empty slot on the calendar. A panel opens titled New Appointment.

  • To edit an appointment: open the appointment, then click Edit. The same form opens titled Edit Appointment.

Creating and editing use the same form, so everything below applies to both.


Creating an appointment, step by step

  1. Pick the date. Use the Appointment Date picker at the top. Leave Magic Availability Check on to have Petboost find open time slots for you, or turn it off to enter times yourself.

  2. Choose the booking type. Under Create, choose One-off, Recurring (repeats on a schedule) or Bulk Create (several dates at once). One-off is the default. Bulk Create is staff-only. Pet owners book extra days themselves with Book more dates after they pick the first slot (regular appointments, signed in, not stays or courses). See Can pet owners book more than one day at a time?.

  3. Choose the pet. In the first row, click the Pet field and search for the pet. Not in the system yet? Click New to add the pet and owner first.

  4. Choose the service(s). Once a pet is selected, the field label becomes Services for [pet name]. Click it and choose a service. You can add more than one, see Adding more than one service below.

  5. Pick the time. With Magic Availability Check on, available slots appear as a calendar and time pills, click one to select it. With it off, set the start time directly on each service.

  6. Add extras (optional). After a service is chosen, any add-ons (like a nail clip or ear clean) appear so you can tap to include them. See Adding extras.

  7. Assign team member or resource (optional). Leave these on the automatic option to let Petboost assign, or choose a specific team member or resource.

  8. Add notes (optional). Add internal notes (staff only) or customer-facing notes.

  9. Choose notifications (optional). Keep your business defaults, or customise whether the customer is notified for this booking.

  10. Review the price. The pricing preview near the bottom shows the total, updated live as you add services and extras.

  11. Create it. Click Create Appointment at the bottom (this reads Create Recurring Series for a recurring booking).


Bulk Create with different times on different days

Bulk Create keeps the pet, services, notes and payment setup the same across every date. With Magic Availability Check on, Petboost then opens a review step that checks each extra date against your chosen time:

  • Dates that are free at the same time are accepted automatically (chip shows Same time). Tap any of those rows if that day needs a different start time and pick another available slot.

  • Dates that are busy at the original time open expanded so you can pick an alternative, Force Original Time, or Skip This Date.

  • Nothing is created until you confirm. Appointments are then created one date at a time.

  • If an extra date fails, the others still go through. You can Retry the failed dates, use Change Time to re-check availability and pick a free slot, or Skip that date. Created dates stay.

  • If the original (first) date fails, nothing else is attempted until you retry that original successfully. Extra dates then continue automatically.

  • Force Original Time books the chosen time even when Petboost found a conflict. Prefer another slot or Skip unless you are sure.

With Magic Availability Check off (Quick Force), bulk create shows Same Start Times / Different Start Times under the service once extra dates are picked. Same keeps every extra date on the original start and end times. Different adds a start and end picker per extra date, with the same working-hours cues as the service times. Review Times then confirms before anything is created. Turn Magic on when you want Petboost to suggest available slots per day instead of typing times yourself.


Adding more than one service

The Services field is a multi-select, you are not limited to one service per pet.

  • Click the Services for [pet name] field to open the list.

  • Choose a service. It appears as a labelled chip, and the list stays open so you can keep choosing more. Each one you pick is added alongside the others.

  • To add another service later, just click the Services field again and choose it, the new one is added to what's already there.

  • To remove a service, click the X on its chip.

  • The price and total duration update automatically every time you add or remove a service.

So to put, for example, a groom on a booking that already has daycare, you don't start again, you open the Services field on that booking and add the groom alongside the daycare. Both then sit on the one appointment, one card, one invoice.

A full service (a groom, a daycare day, a wash) is added here in the Services field. Small extras (nail clip, ear clean, and similar) are handled just below in the extras area, see Adding extras.


Adding another pet

To book more than one pet from the same family onto the same appointment:

  • Click Add Sibling to add another of that owner's pets.

  • Click Create & Add Pet to create a brand new pet and add it.

Each pet gets its own row with its own services and timing, but they share one appointment card, one invoice and one payment.


Adding extras (add-ons)

Add-ons are the small extras that go on top of a main service. They appear once you've chosen at least one service for the pet.

  • Tap an extra to include it. You can add several.

  • Use the quantity control to add more than one of the same extra.

  • Remove an extra with its delete button.

If the extras don't appear yet, choose a main service first, add-ons show Select a service first until then.

View appointment → Add Item on the invoice is the same kind of extra: a charge only. It does not create a time slot or a Trips stop.

If the extra needs to appear on the calendar or on the run (a mobile pickup, taxi, or second timed service), do not use invoice Add Item. Use Edit and add it in the Services field.


Editing a booking to add a service

This is the same as adding a service when creating:

  1. Open the appointment and click Edit.

  2. Click the Services field, it already shows the current service as a chip.

  3. Choose the extra service, it's added alongside the existing one.

  4. Adjust the time, team member or resource for the added service if needed.

  5. Click Update This Appointment. The price and totals update automatically.


When a service is greyed out

  • "Not Eligible": the pet doesn't meet that service's rules (weight, age or breed). If it's a fixable detail like a missing weight, click Add info now to update the pet, then reselect the service.

  • "Select a service first": that item is an add-on. Choose a main service first and it becomes available.


Common questions

  • Can one appointment have several services? Yes. Add them all in the Services field, they stack on the one booking.

  • Can different pets have different services? Yes. Add each pet with Add Sibling or Create & Add Pet, then choose services per pet.

  • Where did the add-ons go? They only appear after a main service is selected, and they sit just below the Services field.

  • Do I need to redo the booking to add a service? No. Edit the appointment and add the service in the Services field, alongside what's already there.

  • I added something from View appointment and it is missing from Appointments or Trips. Invoice Add Item is a charge only. Open Edit and add a timed service in the Services field. See Getting started with Trips.
