Team Members are the people who work in your pet care business. They can be staff members, contractors, or volunteers who help deliver services to your customers. Managing your team effectively ensures you have the right people available with the right skills for each service.

What are Team Members?

Team Members represent the human resources in your business. Each team member has specific roles, skills, availability, and capacity that determine what services they can provide and when they're available to work.

Team Member Types

Team members can be assigned different types based on their role in your business:

Service Providers

  • Staff members who provide services directly to customers and pets

  • Can be assigned to specific services they're qualified to perform

  • Have working hours and capacity limits

Support Staff

  • Staff members who support service delivery and customer assistance

  • Help with appointments and customer service

  • May have limited access to certain features


Adding a Team Member

To add a new team member, go to Team Members and click "Add New""New Team Member", or use the direct link: Create New Team Member.

Step 1: Role & Personal Information

Team Member Creation - Personal Info
  1. Click "Add New""New Team Member" from the Team Members page, or use Create New Team Member

  2. Select Team Member Type - Choose from:

    • Service Provider - Provides services directly to customers and pets

    • Support Staff - Supports service delivery and customer assistance

  3. Personal Information:

    • First Name - Team member's first name

    • Surname - Team member's last name

    • Contact Email - Primary email address

    • Contact Phone - Phone number (optional)

    • Profile Photo - Upload a photo (optional)

💡 Tips:

  • Use professional photos for better team recognition

  • Verify contact information to ensure proper communication

Step 2: Capacity

Team Member Creation - Capacity

Set the team member's workload capacity:

  • Capacity - Maximum number of appointments the team member can handle per day

  • Consider factors like:

    • Experience level

    • Service complexity

    • Physical demands

    • Personal preferences

Capacity Guidelines:

  • New team members: Start with lower capacity (3-5 appointments)

  • Experienced staff: Can handle higher capacity (8-12 appointments)

  • Part-time staff: Set capacity based on their availability

  • Full-time staff: Consider service duration and complexity

Step 3: Working Hours

Team Member Creation - Working Hours

Set up when the team member is available:

  1. Working Hours Template - Choose from:

    • Business Hours - Follows your business operating hours

    • Custom Hours - Set specific hours for this team member

    • Flexible Hours - Available during business hours with flexibility

  2. Override Days - Set different hours for specific days if needed

Common Scenarios:

  • Full-time staff - Follow business hours

  • Part-time staff - Set specific days/hours

  • Contractors - Custom hours based on agreement

  • Weekend staff - Weekend-only availability

Step 4: Services & Account

Team Member Creation - Services & Account

Assign services and create user account:

Service Assignment

  • Select Services - Choose which services this team member can perform

  • Consider:

    • Skills and experience

    • Certifications required

    • Service complexity

    • Team member preferences

User Account Creation

  • Create User Account - Enable login access for the team member

  • Email - Will be used as the login username

  • Password - Will be sent to the team member

  • Access Level - Based on their assigned role

💡 Best Practice: Only assign services the team member is qualified and comfortable performing.


Managing Team Members

Go to Team Members to view and manage all your team members.

Viewing All Team Members

Team Members List View

The Team Members page shows all your active team members with:

  • Team member name and photo

  • Role badge

  • Capacity information

  • Status (Active/Inactive)

  • Contact information

Use the search bar to find team members by name, role, or email.

Team Member Detail View

Click "Manage" on any team member to access detailed information across multiple tabs:

Overview Tab

  • Team member summary and key information

  • Working hours overview

  • Quick stats and status

  • Analytics and reporting (coming soon)

  • Appointment management (coming soon)

Personal Details Tab

  • Basic information and contact details

  • Profile photo management

  • Personal information updates

Services Tab

  • Which services the team member can perform

  • Service eligibility management

  • Add/remove service assignments

  • Service restrictions and requirements

Capacity Tab

  • Current capacity settings

  • Workload management

  • Capacity utilization tracking

  • Capacity adjustment tools

Working Hours & Policies Tab

  • Current working hours schedule

  • Override days and exceptions

  • Availability calendar view

  • Policy management

Leaves & Restrictions Tab

  • Leave requests and approvals

  • Time off management

  • Availability restrictions

  • Schedule exceptions

Editing a Team Member

  1. Click "Manage" on any team member

  2. Navigate to the appropriate tab (e.g., Personal Details, Services, Capacity, Working Hours)

  3. Make changes to the relevant settings

  4. Changes are saved automatically

⚠️ Important: Changes to team member settings affect future appointments. Existing bookings are not automatically modified.


Team Member Management Best Practices

Team Member Assignment

  • Assign team member types based on responsibilities and experience

  • Start with support staff and promote to service providers as appropriate

  • Regularly review team member assignments as they grow in experience

Capacity Management

  • Set realistic capacity based on experience and service complexity

  • Monitor workload to prevent burnout

  • Adjust capacity as team members gain experience

Service Assignment

  • Only assign services the team member is qualified to perform

  • Consider certifications and training requirements

  • Regularly review and update service assignments

Working Hours

  • Set clear expectations for availability

  • Use overrides for special circumstances

  • Consider work-life balance when setting hours

User Accounts

  • Create accounts only for team members who need system access

  • Ensure team members understand their role permissions

  • Regularly review and update account access
