Step 1: Audit Your Hard Constraints
Hard constraints are non-negotiable safety and operational limits. These must be configured before enabling self-service.
Capacity Limits
Question: "How many pets can I physically handle at the same time?"

Note: Suburb restrictions are configured per service, not globally. Each mobile service can have different service areas if needed.

Booking Notice Period
Question: "What's the minimum notice I need to prepare?"

Step 2: Audit Your Soft Constraints
Soft constraints are preferences that improve operations but aren't critical for safety.

Business assigns does not spread bookings evenly. When two team members are free at the same time, the first one Petboost checks gets the booking.

Step 3: The "What If" Check
For anything not covered by rules, ask: "What do I need to verify manually?"
Common "What If" Scenarios

The Initial Service Pattern
For businesses that need to assess new pets before regular booking:
Create an "Assessment" or "Temperament Test" service
On each main service's Who Can Book tab, under Service Prerequisite, turn on Require Prerequisite Service and pick the assessment
New pets must complete the assessment first
After passing, they can book regular services freely
This is a gate, not a barrier. Pets get assessed once, then flow into self-service.

Step 4: Test Your Setup
Before going fully live, test your configuration:

[ ] Book as a customer: Use a test customer account to book each service
[ ] Verify times appear correctly: Check that available slots match your schedule
[ ] Test at capacity: Book until capacity is reached, verify it blocks correctly
[ ] Test eligibility: Try booking with pets that should/shouldn't qualify
[ ] Test notice period: Try booking too close to now, verify it's blocked
[ ] Check mobile on your phone: Book from a mobile device
Use Simulation Mode
Run a Simulation from a customer's pet profile to see exactly what they see when booking. This is the fastest way to verify your self-service setup from the customer's perspective.
Use the Availability Troubleshooter
When you create an appointment with Magic Availability Check on, select See Availability Reasons under the calendar to see exactly what's affecting availability.
Step 5: Choose Your Confirmation Mode
Based on your comfort level, choose how bookings are confirmed:
Instant Confirmation (Recommended for Most)
✓ Bookings confirmed immediately
✓ Customer gets instant confirmation
✓ Zero admin overhead
✗ No chance to review before accepting
Best for: Services where your rules cover everything you need to check.
Pending Approval (Safety Net)
✓ You review each booking before confirming
✓ Can decline bookings that don't fit
✗ Requires active management
✗ Customers wait for confirmation
Best for: Services where you need human judgment before accepting.
What "Pending Approval" Actually Means — The Operational Reality:
Customer books → They see their booking as "Pending Confirmation"
You're notified → You receive a notification to review the booking
You review → Check the pet, customer, and booking details
You decide → Click "Approve" or "Decline" on the appointment
Customer notified → They receive confirmation or decline message
Timing expectations:
Customers expect a response within 24 hours (ideally same day)
If you don't respond, the booking remains pending indefinitely
Multiple pending bookings from the same customer are allowed
Consider this operational overhead carefully. If you're using pending approval for all bookings, you're committing to actively managing every single booking request. For most businesses, the Initial Service pattern is a better choice—it gives you control for new pets while letting trusted pets book freely.
Mixed Approach
You can use instant confirmation for standard services and pending approval for:
New customers (first booking only)
High-value or complex services
Services requiring preparation
Step 6: Go Live
Once you've completed the checklist:
Enable Self-Service
Go to Services → [Service] → Booking Settings tab
Toggle Self-Service Booking to enabled
Choose Instant or Pending Approval confirmation
Save changes
Repeat for each service
Not open yet?
If you are setting up before your opening date, block the weeks you are not trading and leave later dates open, so customers can book ahead for school holidays or Christmas while nobody can book before you open.
Go to Team Members or Resources and open Bulk Block Time from the actions menu
Select All team members and resources
Set the Start Date to today and the End Date to the day before you open, all day
Review & Apply
See Public Holidays for the same tool used for holiday closures.
Monitor for the First Week
Check bookings daily for the first week
Watch for bookings that shouldn't have come through
Note any customer complaints about availability

"What if I make a mistake?"
All settings are reversible. You can:
Switch from instant to pending approval at any time
Adjust eligibility rules
Disable self-service temporarily
Block individual customers if needed
"Should I start with pending approval and switch to instant later?"
This is a safe approach if you're nervous. Start with pending, review bookings for a few weeks, then switch to instant once you're confident your rules work.
"What if customers can't find availability?"
Use the Availability Troubleshooter to diagnose. Common causes:
Too many eligibility rules stacked
Capacity set too low
Working hours too restrictive
Notice period too long
"Can I have different settings per service?"
Yes. Each service has its own booking settings. You might have:

"Spa Package" → Pending approval
