Switching to Petboost? We handle the heavy lifting. Whether you're coming from MoeGo, Gingr, PetExec, Timely, Square, BusyPaws, or any other system, our migration team brings across almost everything so you can hit the ground running.

Import Methods

Google Sheets Import (Recommended)

The recommended way to import your data. Fill in the Petboost template sheet, or share your sheet with Petboost support, and we'll handle the rest.

How to use:

  1. Export data from your current system (CSV or Excel)

  2. Open in Google Sheets

  3. Review and clean up any issues

  4. Share the link with Petboost support, or use the import wizard

CSV Import

For direct file uploads. Export from your current system and import directly.

Supported formats:

  • UTF-8 encoding (handles special characters)

  • Excel-exported CSVs

After Import: Review Your Data

Petboost migrates the data your old system provides, as it is provided. Anything incomplete or out of date in your old system is incomplete or out of date in Petboost too, which is why this review matters.

Once your data is in Petboost:

  1. Sense-check the information - Browse through your customer and pet profiles to confirm everything looks right

  2. Review the failed imports sheet - Every account gets a Google Sheet attached that flags any customer or pet records that couldn't be imported cleanly, so you can review and fix them at your convenience

  3. Report any issues - Our team will help resolve anything that doesn't look right


Step-by-Step Import Process

Step 1: Export from Current System

Export your customer and pet data from your current software:

  1. Log into your current system

  2. Navigate to customer/client export

  3. Select all fields available

  4. Export as CSV or Excel

  5. Save the file securely

Step 2: Prepare Your Data

Review and clean your export:

  1. Open the file in Google Sheets or Excel

  2. Remove any columns you don't need

  3. Check for:

    • Duplicate customers

    • Invalid email addresses

    • Incomplete phone numbers

    • Missing pet names

  4. Standardise formatting (e.g., phone numbers, dates)

Step 3: Upload to Petboost

Import using the Petboost import tool:

  1. Open the actions menu and select Import Customers & Pets

  2. Choose your import method:

    • Magic CSV Import - Upload one combined CSV, or two CSVs (owners and pets)

    • Magic Google Sheets Mode - Enter your email and Petboost shares its template sheet with you to fill in

  3. Petboost matches your columns automatically. There is no mapping step

  4. For a CSV, select Magic Validate to check each row, then Import to Petboost. Only rows that pass are imported

CSV imports of 120 pets or more run in the background, resume if interrupted, and email you when they finish.

Step 4: Verify Imported Data

Check your data is correct:

  1. Browse customer profiles

  2. Verify pet details are attached correctly

  3. Check a sample of records for accuracy

  4. Report any issues to support


Duplicate Prevention

Petboost does not merge records during import:

  • A repeated phone or email within one CSV is skipped

  • An owner whose phone or email already exists in Petboost, with the same first name, is linked to that existing profile. Their existing details are not changed

  • A pet with the same name as one the owner already has is not added again

  • A phone or email already used under a different first name fails the row

Review the results after import and fix failed rows in your file. Support can help resolve complex cases.


Common Data Issues

Invalid Email Addresses

Symptom: Import fails or emails bounce

Solution:

  • Remove or correct invalid formats (e.g., john@example[email protected])

  • Use placeholder for customers without email: leave blank and add later

Phone Number Formatting

Symptom: Phone numbers display incorrectly

Solution:

  • Use consistent format: 0412 345 678 or +61412345678

  • Remove special characters and spaces inconsistently applied

  • International numbers: include country code

Date Format Mismatches

Symptom: Birthdates or vaccination dates wrong

Solution:

  • Use DD/MM/YYYY format (Australian standard)

  • Or YYYY-MM-DD (ISO format)

  • Avoid US format MM/DD/YYYY

Special Characters

Symptom: Names display with garbled characters

Solution:

  • Ensure CSV is saved as UTF-8 encoding

  • Re-export from original system with UTF-8 option

  • Manually fix any remaining issues in Petboost


Exporting Customer and Pet Data

You can export your customer and pet data as CSV files:

  1. Navigate to Customers & Pets

  2. Use the export option

  3. Select what to export (pet owners, pets, or both)

  4. Download the CSV file

Exports include all profile data, contact details, and pet information. This is useful for:

  • Importing into external marketing platforms (Mailchimp, etc.)

  • Creating backup copies of your data

  • Generating reports outside of Petboost

  • Data analysis in spreadsheet software


Frequently Asked Questions

What happens to my data in my old system (e.g., BusyPaws, Pawfinity, Gingr)?

Your data remains in your old system until you choose to delete it. We recommend:

  1. Keep access for 3-6 months after switching

  2. Use old system for historical reference (past appointments, old invoices)

  3. Ensure you've exported everything you need before cancelling

  4. Take screenshots of any important historical data

💡 Tip: Most platforms retain data for a period after cancellation. Check their data retention policy before cancelling your subscription.

How long does migration take?

Core data is typically across within 24 hours of us receiving usable data from your old system. Complex data that needs cleaning before it can move takes longer, and is quoted up front through Migration Concierge. Our onboarding team provides hands-on support throughout.

Can I import appointment history?

Upcoming appointments from your go-live date onwards are loaded for you as part of an assisted migration, including recurring series. You review the transferred calendar side-by-side with your old system and confirm it before go-live; anything you find is corrected first. Past appointments stay in your old system. What if some data is missing or wrong after import?

  1. Check your Google Sheet - Every account gets a Google Sheet that flags failed imports for your review

  2. Minor issues: Edit individual customer/pet profiles directly

  3. Bulk issues: Contact support for batch corrections

  4. Re-import: We can re-run the import with corrected data if needed

Can I import data from multiple sources?

Yes! If you're combining data from multiple systems:

  1. Combine into one master spreadsheet first

  2. Remove duplicates before importing

  3. Do not import the same person twice. Petboost does not merge two profiles. If a phone already exists during add, you get Yes, Same Person - Link Account. For an existing duplicate, keep the profile with the history and archive the other. See How do I merge duplicate customer records?
