Availability Troubleshooter

Overview

The Availability Troubleshooter helps you understand why the booking engine produced specific results. Whether you're wondering why no time slots are available, or trying to understand why certain slots appeared when you didn't expect them, this tool gives you complete visibility into the booking engine's logic.

Access: When you create or edit an appointment with Magic Availability Check on, select See Availability Reasons under the calendar.


When to Use This Tool

Use the Troubleshooter When:

  • No available slots found - Understand exactly why booking isn't possible

  • Unexpected availability - Slots showing when you expected the calendar to be full

  • Team member issues - Your preferred staff member isn't showing as available

  • Eligibility confusion - Pet or service restrictions preventing booking

  • Time constraint questions - Understanding booking windows and intervals

Tip: If a specific customer is reporting an issue, try Simulation Mode first to see exactly what they see. Then use the Troubleshooter for deeper diagnosis if needed.

Quick Access

  1. Open Create Appointment or Edit Appointment

  2. Select pet, service, and team member (if applicable). Available times load

  3. Select See Availability Reasons

If no times are found, Troubleshoot beside Set exact time manually opens the same dialog. The troubleshooter opens as a full-screen dialog, titled Why No Availability? or Availability Found ✓, showing all the information the booking engine used.


Understanding the Troubleshooter

The troubleshooter is divided into four main sections:

1. Verdict Card (Top Left)

What it shows: A quick summary of the booking result.

For successful availability:

  • ✅ Green status - "Availability Found"

  • Shows that slots were found successfully

  • Suggestions for reviewing context

For no availability:

  • 🚫 Red status - Issue type (e.g., "Team Member Not Working")

  • Primary reason why booking failed

  • Suggested actions to resolve

Example verdicts:

  • "Team Member Not Working" - Suzie Walsh has no scheduled working hours on this day

  • "No Available Slots" - All time slots are already booked or unavailable

  • "Team Member Unavailable" - The requested team member is fully booked


2. Entity Cards (Top Right)

What they show: Status of each entity involved in the booking request.

Service Card

Shows the requested service with:

  • Pet Eligibility - Whether the selected pet can receive this service

  • Team Members - How many team members can provide this service, and whether the service requires one. One team member means the service is assigned to one person. If that person is full, raise Pets at a Time on their Capacity tab. Do not add staff, and do not send them to a resource for a team-member block.

  • Resources - How many resources this service uses, and whether it requires one. If that space is full or has Blocked Times, fix the resource. Do not treat this as a team-member problem.

  • Actions: Click to open Service Settings or Eligibility settings

Team Member Card (if applicable)

Shows the requested team member with:

  • Status - Available, Not Working, or Unavailable

  • Issues - Specific reasons why they can't be booked

  • Actions: Click to open Working Hours or Leaves & Restrictions

Booking Settings Card

Shows global booking configuration:

  • Notice Period - How far in advance bookings must be made

  • Booking Interval - Time slot increments (e.g., 30 minutes)

  • Padding - Buffer time before/after appointments

  • Same-family pets gap - Time allowed between multi-pet bookings

  • Actions: Click to open Business Booking Settings


3. Booking Requirements Chain (Middle)

What it shows: A visual flow of how the booking engine evaluated your request.

The chain shows:

📅 Date → 🐕 Pet → 🛁 Service → 👤 Team Member

Each node displays:

  • Green border - This requirement passed ✓

  • Red border - This requirement failed ✗ (with pulse animation)

  • Grey border - Not applicable

Click any node to navigate directly to that entity's settings page.

Example flow:

4. Detailed Breakdown (Bottom)

What it shows: Expandable sections with complete information.

Booking Settings Details

All the timing rules affecting availability:

  • Notice period requirements

  • Booking interval (slot spacing)

  • Padding before/after appointments

  • Sibling pet scheduling rules

Assigned Services Details

Per-service breakdown showing:

  • Whether pet meets eligibility requirements

  • How many team members are qualified

  • How many resources are assigned

  • Whether team member/resource is required

Time Constraints Details

The search parameters used:

  • From/To date and time range

  • Earliest possible booking time (based on notice period)

  • Business timezone

  • Booking interval used

Specific Issues

Direct list of all reasons the booking engine identified:

  • Each issue shown with warning icon

  • Linked to specific service or team member

All System Messages

Complete technical log of the booking engine's evaluation:

  • Step-by-step calculation details

  • Duration and interval information

  • Processing time


Common Scenarios & Solutions

"Team Member Not Working"

What it means: The requested team member has no scheduled working hours on the requested date.

How to fix:

  1. Click "View Working Hours" on their Entity Card

  2. Check their default working schedule

  3. Look for override periods or blocked time

  4. Either:

    • Add working hours for that day

    • Try a different date

    • Leave Magic Match selected for the team member


"No Available Slots"

What it means: All time slots are either booked or blocked.

How to fix:

  1. Check the Time Constraints section for the search window

  2. Review team member/resource capacity

  3. Either:

    • Extend the date range

    • Try different times

    • Check for blocked time on the calendar

    • Increase team member/resource capacity


"Pet Not Eligible"

What it means: The selected pet doesn't meet the service's eligibility requirements.

How to fix:

  1. Click "View Eligibility" on the Service Card

  2. Check:

    • Weight restrictions

    • Age restrictions

    • Breed restrictions

    • Vaccination requirements

    • Initial service requirements

  3. Either:

    • Update pet profile with correct information

    • Choose a different service

    • Adjust service eligibility settings


"Notice Period Violation"

What it means: The requested time is too soon based on your booking settings.

How to fix:

  1. Check Booking Settings Card for notice period

  2. Either:

    • Choose a later date/time

    • Adjust the notice period in Settings → Booking Settings

    • Use Quick Force mode to override


"Resource Unavailable"

What it means: Required resources (rooms, equipment) aren't available.

How to fix:

  1. Check resource working hours and blocked times

  2. Either:

    • Try a different time when resource is free

    • Assign a different resource

    • Add more resources to the service

Start with the Verdict

The Verdict Card tells you the main problem in one sentence. If you only read one thing, read this.

Follow the Red

Look for red badges and borders - these highlight exactly where the problem is.

Click to Fix

Every card has action buttons that open the relevant settings in a new tab. Click and fix without losing your place.

Use the Flow

The visual chain shows you the exact point where the booking failed. Start there.

Skip the Details (At First)

The Detailed Breakdown is collapsed by default. You usually don't need it - only expand if you need more information.


FAQ

Why is See Availability Reasons not showing?

It shows when Magic Availability Check is on and the first service line has a pet and service. For a new recurring series, it appears in the preview only when the check finds no times.

Can I use this for Quick Force bookings?

Yes. With Magic Availability Check off, if the time you set is not normally available, an amber message appears with See availability reasons.

The troubleshooter shows everything is green but no slots appeared?

Check:

  • Time Constraints - Is the search window correct?

  • Booking Interval - Slots must fit within working hours

  • Service Duration - Is the service longer than available time blocks?

  • Capacity - Team member/resource may be at capacity even if "available"

Can customers see this troubleshooter?

No, this is a business-side tool only. Customers see simplified availability without the detailed troubleshooting.

What if I can't figure out the issue?

  1. Take a screenshot of the troubleshooter
