Overview

Proper pricing and duration configuration ensures accurate quotes, realistic scheduling, and smooth appointment workflows. This guide covers all pricing models, duration settings, and advanced configuration options.


Pricing Models

Fixed Pricing

Single, standard price for all bookings

Best for:

  • Standardized services with consistent effort

  • Group classes or courses

  • Walk-in services

  • Services where variables don't significantly affect cost

Example:

  • Group Dog Walk: $40.00

  • Half Day Daycare: $90.00

  • Basic Nail Trim: $15.00

How to set:

  1. Navigate to service → Pricing & Payments tab

  2. Enter Base Price

  3. Leave Variable Pricing disabled

  4. Customer sees exact price at booking

Variable Pricing ("from $X")

Starting price with flexibility for adjustments

Best for:

  • Services where final cost depends on factors discovered during service

  • Grooming (coat condition, matting, time required)

  • Services with size-dependent pricing

  • Complex services with add-ons

Example:

  • Full Groom (Large): from $180.00

  • Boarding Stay: from $120.00/night

  • Training Session: from $85.00

How to set:

  1. Navigate to service → Pricing & Payments tab

  2. Enter Base Price (starting point)

  3. Enable Variable Pricing

  4. Customer sees "from $X" at booking

  5. Adjust final price at appointment completion

When to use:

  • Grooming services (coat condition varies)

  • Services with optional add-ons

  • Size-based pricing without creating separate services

  • When you need flexibility to adjust based on actual work

Adjusting variable prices:

  • During appointment creation: Select service, adjust price before saving

  • After appointment: Edit appointment, adjust price, finalize

  • At completion: Review time spent and condition, adjust accordingly

Tiered Pricing (Multiple Service Variants)

Create separate services for each price point

Best for:

  • Clear size categories (Small/Medium/Large/X-Large)

  • Different service levels (Basic/Standard/Premium)

  • Distinct duration or scope differences

Multi-Pet Discount Pricing

Offer automatic discounts when customers book multiple pets

Multi-Pet Discount Pricing

What it is:
Encourages customers to book multiple pets at once by offering reduced per-pet rates. Petboost uses rate-per-pet tiers: you set the price per individual pet for each pet count tier, and the system applies that rate to ALL pets when the tier is met.

Why use it:

  • Increased bookings: Removes price barrier for multi-pet families

  • Customer loyalty: Rewards customers with multiple pets

  • Higher revenue per appointment: More pets per time slot

  • Competitive advantage: Differentiates from competitors

  • Reduced admin: Automatic calculation, no manual adjustments

How to set:

  1. Navigate to service → Pricing & Payments tab

  2. Find Multi-Pet Discount Pricing section

  3. Click + Add Multi-Pet Rates

  4. Configure rate-per-pet tiers:

    • 1 Pet: Enter the per-pet rate (typically the base price, e.g. $100)

    • 2 Pets: Enter the reduced per-pet rate (e.g. $85)

    • 3+ Pets: Enter the reduced per-pet rate (e.g. $75)

  5. The system derives the discount percentage automatically for display

  6. Save changes

Important: The rate you enter is the price per individual pet, not the total for all pets. The system calculates: total = rate per pet x number of pets. For example, if you want to charge $150 total for 2 dogs, set the rate per pet to $75 (not $150).

How it works:

  1. Customer adds multiple pets for the same service

  2. System counts the pets and finds the matching tier

  3. The tier's rate per pet is applied to ALL pets (not just additional ones)

  4. Total = rate per pet x number of pets

Example Configuration:

Base Service: Full Groom - $100.00With Multi-Pet Rate Tiers:- 1 pet:  $100.00 per pet = $100.00 total- 2 pets: $85.00 per pet  = $170.00 total (saved $30)- 3+ pets: $75.00 per pet = $225.00 total for 3 pets (saved $75)

Best Practices:

Recommended rate reductions:

  • 2 pets: 10-15% lower than base (encourages booking both pets)

  • 3+ pets: 20-30% lower than base (rewards larger families)

Services where multi-pet discounts work best:

  • Dog grooming (standard haircuts/baths)

  • Dog walking (multiple dogs on one walk)

  • Training sessions (group or individual)

  • Daycare (multiple pets same day)

Services where discounts may not apply:

  • Boarding (separate kennels, full resources per pet)

  • Specialised services (each pet needs full attention)

  • Medical/veterinary services

Pricing Psychology:

  • Tiered rates incentivise adding more pets

  • Larger reduction at 3+ creates compelling value proposition

  • Keep base price fair: discount from reasonable starting point

Q: Can I have different rates for different services?
A: Yes, configure multi-pet rate tiers per service. Each service can have its own per-pet rates.

Q: Does the discount apply to mixed services?
A: No, rate tiers apply when multiple pets book the same service in the same appointment.

Q: Can customers combine multi-pet rates with packages?
A: Multi-pet rates apply to the service price before package credits.

Q: The rate I enter is per pet, not the total?
A: Correct. The rate per pet is what each individual pet is charged. Total = rate per pet x number of pets. If you want 2 dogs to cost $150 total, set the per-pet rate to $75.

Q: Do rates apply to add-on services?
A: Configure separately per service. Typically apply to main services, not add-ons.


Duration Configuration

Service Duration

Total time blocked on schedule for this service

Includes:

  • Actual hands-on service time

  • Typical setup/cleanup within service

Does not include:

  • Buffer time (set separately)

  • Extreme edge cases

Examples:

  • Dog Grooming (Medium): 1h 30m

  • Group Dog Walk: 1h

  • Daycare (Half Day): Half Day

  • Boarding: 1d (one day)

Duration Types:

Time-Based Duration:

  • Minutes: 15m, 30m, 45m

  • Hours: 1h, 1h 15m, 1h 30m, 2h, 2h 30m, etc.

Day-Based Duration:

  • Full Day: All-day service

  • Half Day: Partial day service

  • Multi-day: 1d, 2d, 3d, etc. (for boarding/stays)

Setting realistic durations:

Too Short:

  • ❌ Appointments run over time

  • ❌ Schedule becomes inaccurate

  • ❌ Staff feel rushed

  • ❌ Back-to-back conflicts

Too Long:

  • ❌ Underutilized schedule

  • ❌ Fewer appointments per day

  • ❌ Lost revenue opportunities

Just Right:

  • ✅ Reflects actual service time + minor variations

  • ✅ Use buffer time for setup/cleanup

  • ✅ Monitor and adjust based on real performance

Buffer Time

Additional time before or after service

Purpose:

  • Preparation before appointment

  • Cleanup after appointment

  • Transition time between appointments

  • Prevents back-to-back scheduling issues

Before Buffer:

  • Check-in pets

  • Review special instructions

  • Prepare equipment/space

  • Welcome customers

After Buffer:

  • Clean equipment/space

  • Update notes

  • Check-out pets

  • Prepare for next appointment

Examples:

No Buffer Needed:

  • Group classes (built into service duration)

  • Services with natural gaps

Light Buffer (15 minutes):

  • Standard grooming

  • Dog walking

  • Quick services

Moderate Buffer (30 minutes):

  • Complex grooming

  • First-time services

  • High-turnover daycare

Heavy Buffer (45+ minutes):

Customize how duration appears to customers

Duration shown to customers

What it is:
Overrides the default duration display with custom text. Instead of showing "2h" or "1h 30m", you can display more customer-friendly text like "Approx. 2 hours" or "2-3 hours depending on coat condition".

When to use:

  • Variable duration services where exact time isn't guaranteed

  • Services where you want to set expectations ("Approx. 2 hours")

  • Complex services with unpredictable timing

  • When default formatting doesn't fit your brand voice

How to set:

  1. Navigate to service → Duration & Timing tab

  2. Find Duration shown to customers

  3. Enter custom text (e.g., "Approx. 2 hours")

  4. Leave blank to use default duration format

Examples:

Default display:

  • "2h"

  • "1h 30m"

  • "Full Day"

Custom display:

  • "Approximately 2 hours"

  • "2-3 hours depending on coat condition"

  • "Half day (4-5 hours)"

Times customers see (previously Service Windows)

Times customers see change what customers see on the booking page and in reminders. They do not restrict which slots exist.

They live on the service, under Duration & Timing → Times customers see. They are not on Booking Settings.

The card has one panel per side of the visit, named by what the customer does. A venue service shows Drop-off then Pick-up. A mobile service shows Pick-up then Drop-off. Each panel has Customers see, with three modes:

The booked minute, for example 9:00 AM. Default.

A window

A clock window. Under For a 9:00am booking, show, set the two times. The window moves with each booking's own time. Wording is optional.

A message instead of a time

The Wording only, for example Morning. No clock. Duration is hidden.

The panel shows what the customer will read for an example booking, and the message at the top of the card is the confirmation they receive.

To show Morning or Afternoon instead of 9:00 AM:

  1. Open the service and select Duration & Timing.

  2. Find Times customers see.

  3. In the Drop-off panel (Pick-up on a mobile service), under Customers see, select A message instead of a time.

  4. In Wording, type the words the customer should see.

  5. Select Publish Changes.

  6. Repeat on every AM / PM or zone copy of that service.

Do not select A window if the goal is to hide the clock.

A session Label with Show on booking page on adds a badge next to 9:00 AM. The clock stays, and that badge wins over A message instead of a time. Leave Show on booking page off if you are hiding the clock. See Setting up your sessions.

If the customer books two services on the same booking, the time list follows the first service on the slot. A message instead of a time on the second service does not hide the first service's times.

Staff still see the scheduled times on the appointment.

Fixed Start Time

What it does:
Fixed Start Time locks a service to a single start time each day. Pet owners see one bookable time, not a list of slots. The clock still shows unless A message instead of a time is also on.

Rules:

  • The time must fall inside the working hours of the team members or resources assigned to the service. If it falls outside them, no times show at all.

  • The time must also line up with your Booking Interval. Shift starts round up to the next interval first. A 7:30 start on a 60-minute interval becomes 8:00. No times show.

  • Same-day booking closes once the fixed time has passed.

  • Capacity still applies. When the single time is full, the day shows as unavailable.

When to use it:

  • A group class or activity that starts at one set time.

  • A daycare day where every dog starts together.

When not to use it:

  • To show customers an arrival window such as "drop off 7:30-10:00am", or Morning / Afternoon with no clock. Use Times customers see on Duration & Timing. A window shows a window. A message instead of a time hides the clock. Neither restricts how many slots exist.

To set it:

  1. Open the service and select Duration & Timing.

  2. Under Fixed Start Time, select the time.

  3. Select Publish Changes and confirm.

For Grooming Businesses

Advanced Configuration

Copy Service Settings

When creating multiple similar services, you can copy settings from an existing service to save time:

  1. Open the service you want to copy settings from

  2. Click the "Copy Settings" button

  3. Select the target service(s) to copy settings to

  4. Choose which settings to copy (pricing, duration, booking rules, team assignments, etc.)

  5. Review and confirm

This is particularly useful when setting up variations of the same service (e.g., different sizes of the same grooming style).

No-Show Protection and Upfront Payments

Petboost gives you two ways to secure a booking before the appointment:

  • Deposits - a built-in charge taken when the booking is made, online or by your team, either the full booking total or part of it

  • Card on file with pre-authorisation - nothing is charged up front, the card is verified and funds are temporarily held 72 hours before the appointment

Only one applies to any given booking. If a booking takes a deposit, Petboost does not also pre-authorise the balance on top of it.

Deposits

Set your business default in Settings → Pricing & Payments under Deposits, then override it per service in Services → [Service Name] → Pricing & Payments. Each service shows whether it matches the business default or differs from it.

There are three modes:

  • Pre-pay in Full - charges 100% of the booking total when the customer books, including any card or booking fees you pass on to them

  • Partial deposit - charges either a percentage of the booking total (5% to 95%, in 5% increments) or a fixed dollar amount, plus any card or booking fees you pass on. For 100%, use Pre-pay in Full instead

  • No deposit - a per-service override, so an individual service can opt out of a business-wide deposit

Whatever the customer pays up front reduces the balance owed, so only the remainder is charged at the end of the appointment.

When the pet owner books online, Petboost takes the deposit at that moment. They must have a card on file and the charge must succeed, or the booking is refused. When the owner books several dates in one pass, Petboost takes the deposit for each date.

When you create the booking yourself, Petboost takes the deposit if the owner has a card on file. If they do not, the booking still lands and stays Pending. Open the appointment and use the blue Deposit due banner: select Take $X once the owner has a card, or Send card request to text them the add-card link first. Recurring bookings do not take a deposit.

What happens to a deposit when plans change

  • You decline a booking request: the deposit is refunded in full

  • The customer cancels with enough notice: the deposit is refunded in full

  • The customer cancels later than your cancellation period allows: you keep your cancellation-fee percentage of the deposit already paid and the rest is refunded. The unpaid remainder of the booking is not charged, so if you want the full booking amount protected, use Pre-pay in Full

  • Refunds are automatic and the customer is refunded in full, though banks take the standard 5-10 business days to show it. Stripe does not return its own processing fee on the original charge to you

Pre-authorisation

Pre-authorisation protects the same bookings without moving any money up front:

  • 72 hours before the appointment, the customer's card is verified and funds are temporarily held (reserved, not charged)

  • If they cancel, the hold releases automatically and typically returns to the card within 30 minutes to 24 hours (not 5-10 business days)

  • No refund to process, no accounting entry to reverse

  • Businesses using pre-authorisation report an 80%+ reduction in no-shows

Configuration:

  1. Navigate to Settings → Automations

  2. Enable Pre-Hold Funds (Pre-Authorisation)

  3. Set your cancellation period in Settings → Booking Rules

  4. The system handles everything automatically from there

When to use each

  • Use a deposit when you need the money committed before the appointment: peak-season boarding, high-value grooming, new customers with no history, or slots you cannot refill at short notice. Use Pre-pay in Full when the entire booking amount needs protecting, not just part of it

  • Use pre-authorisation when your concern is no-shows rather than cash up front, and you want changes to stay friction-free. Because nothing is charged, a cancellation releases the hold in 30 minutes to 24 hours instead of putting the customer through a 5-10 business day refund

Our recommended setup for high-value or boarding bookings:

  1. Store a card on file securely at booking time

  2. Increase your cancellation period (e.g., 48-72 hours for standard bookings, longer for boarding or high-value services) to protect yourself against last-minute cancellations

  3. Choose your protection: a deposit (Partial or Pre-pay in Full) when the booking is expensive or hard to refill, or Pre-Hold Funds when you would rather nothing was charged until after the appointment

Duration Multipliers

Adjust duration based on factors

Some services may offer duration multipliers for:

  • Multiple pets (30% longer per additional pet)

  • Complex situations (1.5x time for severe matting)

  • New customers (1.25x time for initial assessment)

Manual adjustment:
During appointment creation, manually adjust duration if needed.

Small Business:

  • Full Groom (Small): from $65-$95

Premium Salon:

Common Questions

Q: Should I use variable pricing or separate services for different sizes?
A: Separate services if pricing and duration differ significantly. Variable pricing if differences are minor and you want flexibility.

Q: How do I handle severely matted coats that take much longer?
A: Use variable pricing ("from $X") and adjust price upward during or after service. Communicate extra time/cost to customer before starting.

Q: Can I change prices for existing appointments?
A: Yes, edit the appointment and adjust the price before finalizing. Price at time of finalization is what's charged.

Q: What if I underestimated duration and appointments run long?
A: Monitor actual durations and adjust service duration settings. Use buffer time to give yourself cushion.

Q: Should buffer time be paid?
A: Buffer time is not separately invoiced - it's built into your workflow. Service price covers both service duration and buffer time.

Q: Can I have different prices for weekends?
A: Yes. Set a Saturday and Sunday rate in Business Hours, as a percentage or a flat amount, and choose which services it covers. Pet owners see it badged on those dates while they book and in the total before they confirm. Public holidays have their own rates under Public Holidays. For a date-range season instead of a weekday, create separate "Weekend" service variants or adjust variable pricing at booking.

Q: How do I handle multi-pet discounts?
A: Use multi-pet rate tiers on your service (Pricing & Payments tab). Set a per-pet rate for each pet count tier. Alternatively, create dedicated "Multi-Pet" service variants with different pricing.


Change the order of services

The order customers see on the booking page is set from Services with Sort & Group > Reorder.

  1. Open Services.

  2. Open Sort & Group.

  3. Select Reorder.

  4. Drag the services into place.

  5. Select Done.

The same Reorder control is on Packages and on Memberships > Plans.


Update many services at once

Bulk Update writes the same field values onto every service you select. It does not change Service Name. To rename many services, use Edit many services in a grid.

  1. Open Services.

  2. Tick the checkbox on each service. The bar shows how many are selected.

  3. Select Bulk Update.

  4. On Bulk Update Services, select a service type on Type.

  5. Select Select Services.

  6. On Services, tick the services, then select Choose Fields.

  7. On Fields, tick each field and set its value.

  8. Select Review Changes.

  9. On Confirm, select Apply to plus the service count (for example Apply to 5 Services).

You can also open Bulk Update Services from the settings menu on Services. If the selected services already share one type, the dialog opens on Fields.


Edit many services in a grid

Bulk Edit Grid lets you change different values per service, including Service Name. If you are on a phone, use Bulk Update. Bulk Edit Grid needs a desktop or laptop.

  1. Open Services on a desktop or laptop.

  2. Open the settings menu.

  3. Select Bulk Edit Grid.

  4. On Bulk Edit Services, edit the cells you need (for example Service Name).

  5. Select Publish Changes.

  6. Review Publish plus the service count (for example Publish 5 Services).

  7. Select Publish plus the change count (for example Publish 5 Changes).

  8. Select Done.

Optional: select Discard All to drop unpublished edits.

Sort, filter, group and choose columns

The grid toolbar sets the view. It is saved on the device you are using, so the grid opens on the view you left it in.

  1. Select Filter, then Add condition. Pick a field, a condition and a value (for example Category is Grooming). The first row reads Where. On the second row choose and or or, which then applies to every row below it.

  2. Select Sort by and pick a field to sort on.

  3. Select Group by and pick a field to group the rows by.

  4. Select Fields and tick the columns you want shown. Use Search fields to find one in a long list.

Select Clear all inside Filter to remove every condition.


Archive or delete many services

Bulk Delete archives or permanently removes the services you select.

  1. Open Services.

  2. Tick the checkbox on each service.

  3. Select Bulk Delete.

  4. On Remove plus the service count (for example Remove 5 Services), choose Archive or Permanently Delete.

  5. If you chose Archive, tick I want to archive the listed services. If you chose Permanently Delete, type DELETE and tick I understand this cannot be undone.

  6. Select Archive 5 Services or Delete 5 Services (the count matches your selection).

  7. Select Done.

Archive (badge Recommended) hides the services. You can show them again with Include Archived Services in Filters. If a service has booking history, Petboost archives it instead of deleting it.


Create a custom service category

Custom categories group services. Global categories are labelled System and cannot be edited.

  1. Open Services.

  2. Open the settings menu.

  3. Select Manage Categories.

  4. On Service Categories, select Add Category.

  5. On Create Custom Category, enter Category Name on Name & Description.

  6. Optional: enter Description (optional).

  7. Select Next.

  8. Optional: on Images & Colours, add Icon (optional) and Background Image (optional), or select Use Default.

  9. Optional: pick Primary Colour under Badge Colour.

  10. Select Next.

  11. On Review & Publish, select Create Category.

To edit a custom category, open it under Your Custom Categories, change the fields, then select Save Changes on Edit Category.

To change the order of custom categories, drag them under Your Custom Categories.

To delete a custom category:

  1. Open Manage Categories.

  2. Select the category under Your Custom Categories.

  3. On Delete Category, select Delete Category.

Services using that category need to be reassigned.


Apply the business default to services

Each service keeps its own copy of a business setting, taken when the service was created. When a service's copy differs from the setting, Petboost shows a 1 service uses its own setting or N services use their own setting badge on that setting. Changing the setting does not change those services; publish with Also update services switched on, or use the steps below.

  1. Open Settings.

  2. Open the page for that setting, for example Automatic Actions, Pricing & Payments, Duration & Timing, Booking Settings, Notifications, or Policies & Paperwork.

  3. Select the services use their own setting badge.

  4. On Services with their own setting, select Set all to the value the setting shows (for example Set all to Enabled).

  5. On Apply Default to Services, tick the services to update. Optional: select Select All or Deselect All.

  6. Select Apply to plus the service count (for example Apply to 5 Services).
