Overview

The Payouts tab in Settings gives you complete visibility into how your money flows from customer payments to your bank account. No more guessing, no more "where's my money?" anxiety. See exactly what's been paid, what's processing, and when funds will arrive.


How Payouts Work

When a customer pays, the money doesn't teleport instantly to your bank. Here's the actual flow:

Rolling Basis (Not Batched)

Critical to understand: Stripe processes payouts on a rolling basis, not in batches.

This means:

  • Each payment is tracked individually through the 2-day processing window

  • Payments don't wait for other payments to be grouped together

  • Money flows continuously as it becomes available

For example, if you receive payments on Monday, Tuesday, and Wednesday:

  • Monday's payments arrive Wednesday

  • Tuesday's payments arrive Thursday

  • Wednesday's payments arrive Friday


Your Money Is Never Missing

This is the most important thing to understand: your money is never missing.

At any point, your funds are in one of three places:

If you ever think money is missing, check the Payouts tab. You'll see exactly where every dollar is.


Payout Schedule

Your payout schedule determines when Stripe sends available funds to your bank.

Specific accounting needs

Daily Cutoff Time

Payments must be captured before the daily cutoff time to be included in the next day's payout batch. The exact cutoff time varies by country (typically around 5pm local time).

Example (Australia, 5pm cutoff):

  • Payment at 4:30pm Monday → Included in Tuesday's processing → Arrives Wednesday

  • Payment at 5:30pm Monday → Included in Wednesday's processing → Arrives Thursday

The exact cutoff time for your account is displayed in your local timezone in the Payouts tab.

Weekend & Holiday Delays

Banks don't process transfers on weekends or public holidays.

The Payouts tab shows you when the next payout will actually arrive, accounting for weekends and holidays.


Payout Destination (Bank Account)

The Payouts tab shows your connected bank account where Stripe sends your money.

Changing Your Bank Account

To change where your payouts go:

  1. Click "Manage" in the Payout Destination card

  2. You'll be taken to your Stripe Dashboard payout settings

  3. Add a new bank account or update existing details

  4. Stripe may require verification for new accounts

⚠️ Note: Bank account changes must be made in the Stripe Dashboard, not in Petboost.

Viewing Payout History

The Payout History section shows all your past and pending payouts.

Viewing transactions in a payout

If you need the sales, fee and bank figures for a deposit, expand that payout.

The top of the expanded payout shows:

  • Card sales - Gross card charges in the payout

  • Refunds - Shown only when the payout includes a refund

  • Stripe processing fees

  • Petboost booking fees

  • Net transferred - The amount that arrived in your bank (or is expected to)

Each transaction under that summary shows the pet, owner, service, Stripe fee, Petboost fee, and net. Open Appointment opens the booking in Petboost. View in Stripe opens the payment in your Stripe Dashboard.

The payout amount on the collapsed row is the net transferred. It will not match Reporting & Intelligence sales for the same calendar day, because payouts use a rolling 2-day schedule.


Stripe Dashboard Access

You can always access your full Stripe Dashboard for:

  • Complete transaction history

  • Detailed reporting and analytics

  • Bank account management

  • Payout schedule changes

  • Dispute management

  • Tax documents

Quick Links in Payouts Tab:

  • "Stripe Dashboard" button (top right) → Your payouts overview

  • "Manage" button (bank account card) → Payout settings

  • "Change schedule in Stripe" link → Schedule configuration

  • "View in Stripe" on transactions → Individual payment details


Current Balance

The balance section shows two key figures:

Available to Payout (Green)

Money that has completed the processing period and is ready to be sent to your bank in the next scheduled payout.

Still Processing (Amber)

Money that is within the processing period (typically 2 days). This will become available once processing completes.

Combined: Available + Processing = Your total funds held by Stripe


Common Questions

Why hasn't my payment arrived yet?

Check these in order:

  1. Is it past the cutoff? Payments after 9pm go to the next day's batch

  2. Is it a weekend/holiday? Banks don't process on non-business days

  3. Is the payout showing "In Transit"? It's on its way, typically 1-2 business days

  4. Is your bank account verified? Check the status in Payouts tab

How do I get paid faster?

Stripe's processing time (typically 2 days) is standard for Australia and cannot be reduced. However:

  • Ensure payments are captured before the 9pm cutoff

  • Use daily payouts for the fastest available timing

  • Keep your bank account verified and in good standing

Why is my payout smaller than expected?

Your payout is the net amount after:

  • Stripe processing fees (1.7% + $0.30)

  • Petboost platform fees (1.4% for Pro, 1.2% for Max)

  • Any refunds processed

Expand the payout to see card sales, Stripe fees, Petboost fees, and the net transferred, then each transaction.

Can I request an instant payout?

Stripe offers Instant Payouts in some regions, but this is not currently available through Petboost. Standard payouts with the 2-day processing period are used.

What if a payout fails?

Payout failures are rare but can happen if:

  • Bank account details are incorrect

  • Account has been closed

  • Bank rejects the deposit

If a payout fails, funds return to your Stripe balance and Stripe will retry. Check your bank account details in Stripe Dashboard.

Where can I see Stripe's fees?

Fees are shown in two places:

  1. Per transaction - Expand a payout to see fees on each payment

  2. Stripe Dashboard - Full reporting and analytics
