Complete guide to managing sales transactions, processing payments, and handling payment links for packages, products, and services in the Customers & Pets module.
Sales Tab Overview
The Sales tab in each pet's profile shows all transaction history, including:
Package purchases
Product sales
Service payments
Payment status (paid or pending)
Payment methods used
Transaction details and receipts
Payment Methods for Sales
Petboost takes secure payments through Stripe. When creating a new sale or purchasing a package, choose from these payment options:
Core Automated Methods:
Card on File (auto-charge after service)
SMS Payment Link (customer pays on their device)
In-Person Card Machine (Stripe Terminal)
Protection & Flexibility:
Pre-Authorisation (hold funds before service)
Cash and Bank Transfer (for customers who prefer them)
All payments include branded invoices with your logo, colours, and ABN. Here's how each method works:
1. Card on File (Saved Payment Method)
Most common and recommended method
Requirements:
Customer has added payment method
Card valid and not expired
Sufficient funds available
Process:
Select "Card on File" radio button
Displays last 4 digits and expiry
Click "$X • Charge Card on File" button
Payment processes instantly
Petboost emails the customer a receipt if Email the customer: booking updates is on
Benefits:
Fastest payment method
No manual data entry
2. Cash
In-person payment in physical currency
Process:
Select "Cash" radio button
Click "$X • Record Cash Payment"
System marks as paid
Optional: Print receipt
Best for:
Walk-in customers
Customers without payment method on file
Locations with cash-only preference
Important: Cash payments cannot be refunded automatically (must handle manually)
3. Bank Transfer
Customer pays via direct bank transfer
Process:
Select "Bank Transfer" radio button
Click "$X • Send Invoice & Bank Details"
Customer receives email with:
Invoice PDF
Your bank account details
Payment reference number
Manually mark as paid when transfer received
Best for:
Large invoices (corporate clients)
Customers preferring bank transfers
International payments
Important: Requires manual verification and reconciliation
4. Card Reader (In-Person)
Physical card reader for in-person payments
Requirements:
A Stripe card reader connected to your Petboost account
The reader connected to the internet over Wi-Fi
Process:
Select "Card Reader" radio button
Click Record Sale on Card Reader
Customer taps or inserts their card
Reader processes payment
Petboost records the sale and opens a receipt PDF
Benefits:
Visa, Mastercard, American Express and eftpos cards, and mobile wallets
Contactless payment (tap)
Integrated with Petboost

5. Secure Payment Link (SMS)
Send secure payment link via SMS to customer
Requirements:
Customer has valid phone number on file
Business Pro, Business Flex or Business Max plan
Process:
Select Secure Payment Link
Under Deliver Link By, select SMS. When the customer pays the booking fee, the total shows an SMS Fee line
Click Send by SMS
Customer receives SMS with payment link
Customer clicks link and completes payment
System automatically marks as paid when payment received
Petboost emails the customer a receipt if Email the customer: booking updates is on
What the customer receives:
The customer receives an SMS message like this:
Hi [Customer Name], [Business Name] has sent you a secure payment link for [Item Description] x[Quantity]:https://buy.stripe.com/[link-id]Amount: $X.XX(no-reply)

No card on file required
Customer pays on their own device
Secure Stripe-hosted payment page
Works for any customer with phone number
Automatic payment confirmation
Professional SMS delivery
Fees:
SMS Payment Fee: $0.30, added to the Petboost booking fee when Petboost texts the link. It is not added for Email or Copy Link
Petboost Platform Fee: {{BOOKING_FEE_RATE}} (Pro), {{FLEX_BOOKING_FEE}} (Flex) or {{BUSINESS_MAX_BOOKING_FEE_RATE}} (Max)
Stripe Processing Fee: {{CARD_FEE}}
Best for:
Customers without card on file
One-off purchases (packages, products, services)
Remote payment collection
Customers who prefer SMS over email
Quick payment requests
Important: The $0.30 SMS fee covers SMS delivery. It shows as an SMS Fee line in the total when the customer pays the booking fee, and is in addition to Petboost's platform fee and Stripe's processing fee.
Resending Payment Links:
Payment links do not expire. If the customer needs the link again:
Find the pending sale on the Sales tab
Select Send Link from My SMS App. Your SMS app opens with the link ready to send
Send the message
Petboost does not send this text, so no SMS credit is used and no SMS fee is charged.
6. External Payment (Manual Override)
Mark invoice as paid manually
When to use:
Customer paid outside Petboost (PayPal, Venmo, etc.)
Check payment received
Payment plan arrangement
Complimentary service (no charge)
Process:
Select "External Payment" radio button
Click "$X • Mark as Paid Externally"
Enter payment details:
Method used
Transaction reference
Notes
System marks as paid
Important: No automatic refund available - handle manually if needed
7. Pre-Authorized Payment
Capture pre-authorized hold
How pre-authorization works:
When Pre-hold funds is on, Petboost places a hold on the card 72 hours before the appointment
Hold reserves funds without charging
When service complete, hold captured (charged)
If cancelled, hold released automatically
Benefits:
Reduces no-shows (customer has "skin in the game")
Guarantees payment availability
Faster checkout (already authorized)
Process:
System places hold automatically (if automation enabled)
Complete service
Finalize invoice
Click "Capture Pre-Authorized Payment"
Hold converts to actual charge
Viewing Sales History
Sales Tab Features
The Sales tab provides:
Search and Filter: Find specific sales by date, amount, payment method, or item
Payment Status: See at a glance which sales are paid (green badge) or pending (purple badge)
Transaction Details: View full payment information, line items, and transaction IDs
Receipt Management: Generate, view, or download receipts for any sale
Filtering Sales
Available filters:
Payment Status: All, Paid, Pending Payment
Payment Method: Filter by specific payment method
Items/Services: Filter by specific products or services sold
Date Range: Filter by date range
Amount Range: Filter by minimum and maximum amounts
Sorting options:
Date: Newest first or Oldest first
Price: Low to High or High to Low

When Payment Links Are Used
Payment Links are available for:
Package Purchases: When purchasing packages for customers
Quick Sales: When creating new sales for products or services
Appointment Payments: When processing appointment invoices

Business selects Payment Link as payment method
System generates secure Stripe payment link
SMS sent to customer with link and amount
Customer clicks link and completes payment on Stripe-hosted page
Payment automatically confirmed in Petboost
Receipt sent to customer automatically

Pending Payment:
Purple badge shows "Pending Payment"
Complete Payment, Send Link from My SMS App and Cancel Payment Request buttons available
Transaction shows in Sales tab with pending status
Paid:
Green badge shows "Paid" with success icon
Transaction marked as complete
Receipt available for download
Payment link URL available for reference
Fees and Costs
Understanding Payment Fees
SMS Payment Fee:
Amount: $0.30, added to the Petboost booking fee when Petboost texts the link
When it applies: Only when Petboost sends a Secure Payment Link by SMS. It is not added for Email or Copy Link
Display: Shown as an SMS Fee line in the total when the customer pays the booking fee
Purpose: Covers SMS delivery costs
Petboost Platform Fee:
Amount: {{BOOKING_FEE_RATE}} (Pro), {{FLEX_BOOKING_FEE}} (Flex) or {{BUSINESS_MAX_BOOKING_FEE_RATE}} (Max) of the transaction
When it applies: All card-based payments
Purpose: Platform service fee
Stripe Processing Fee:
Amount: {{CARD_FEE}} per transaction
When it applies: All card-based payments
Purpose: Payment processing costs
Fees Example:
For a $100.00 sale sent as a Secure Payment Link by SMS on Business Pro, the fees are three separate lines:
SMS Fee: $0.30
Petboost Fee (1.4%): $1.40
Stripe Fee (1.7% + $0.30): $2.00
Best Practices
Choosing Payment Methods:
Card on File: Use for regular customers with saved payment methods
Payment Link (SMS): Use for customers without cards, one-off purchases, or remote payments
Cash: Use for walk-in customers or cash-only preferences
Bank Transfer: Use for large invoices or corporate clients
Payment Link Tips:
Always verify customer phone number before sending
Explain the $0.30 SMS fee if customer asks
Resend payment links promptly if customer requests
Monitor pending payments and follow up if needed
Sales Management:
Use filters to find specific transactions quickly
Keep payment methods updated for regular customers
Generate receipts promptly for customer records
Track pending payments and follow up as needed
Common Questions
Can I resend a payment link if the customer didn't receive it?
Yes. Find the pending sale on the Sales tab and select Send Link from My SMS App. Your SMS app opens with the link ready to send. Petboost does not send this text, so no SMS credit is used and no SMS fee is charged.
What happens if the customer doesn't pay via the payment link?
The sale remains in "Pending Payment" status. You can:
Resend the payment link
Contact the customer directly
Switch to a different payment method
Can I see what the customer received in the SMS?
Yes. The Sales tab shows the payment link URL and transaction details. The SMS format is standardised and includes business name, item description, payment link, and amount.
Are there any limits on payment link amounts?
No. Payment links work for any amount, from small purchases to large package sales.
Can I use payment links for recurring payments?
Payment links are designed for one-time payments. For recurring payments, use Card on File with Automatic Actions.
How do I void a duplicate or incorrect quick sale?
You can void a completed cash, bank transfer, or other EFTPOS quick sale so it no longer appears in sales history or reporting totals.
Open the pet profile and select the Sales tab
Find the sale
Select Void Sale
Select Yes, Void Sale
The sale is removed from the customer's records and from reporting. This cannot be undone.
If the sale is still Pending Payment, select Cancel Payment Request instead.
Card, card reader, and paid payment-link sales cannot be voided this way.
